This Events Coordinator III, under general supervision, provides central coordination of large events and conferences, to include pre- and post-event liaison with clients. Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience

  • Three years of related experience in event planning including related supervisory experience

Required Knowledge, Skills, and Abilities:

  • Knowledge of A/V equipment, sound, lighting & video consoles, controllers, and devices

  • Ability to multi-task and work cooperatively with others

  • Customer service-oriented

  • Knowledge of event management booking software to include EMS

Other Requirements:

  • Must be willing and able to work evenings, weekends, and special events as necessary

  • This position is an evening position working 1:00 pm -10:00 pm

Preferred Education and Experience:

  • Master's degree

  • Experience with EMS scheduling software

  • Experience with sound/audio systems

Preferred Knowledge, Skills, and Abilities:

  • Ability to analyze artistic styling needs to accomplish a specific purpose

Responsibilities:

  • Events - Responsibilities include but are not limited to initiating and maintaining contact with conference and meeting group sponsors and coordinators. Coordinates the negotiating and monitoring event contracts. Coordinates scheduling and conducts pre-event meetings with clients and event service partners. Makes recommendations to the Assistant Director for policy and procedure implementation. Provides on-site event coordination including coordination efforts between Hospitality and Event Services Audio Visual, Set Up Crews, Maintenance, Custodial, Catering, Transportation, Residence Life, Student Life, Security, and Rudder Theatre Complex.

  • Customer Service - Works with clients from recognized student organizations, University departments, and off-campus entities. Is responsible for assisting in the development and implementation of a comprehensive marketing plan for the unit in conjunction with the department's marketing coordinator. Acts as a liaison to organizers of athletic events, business meetings, student activities, faculty and agency programs, and community and university councils. Develops and maintains a working and communications network with these entities in order to stay abreast of campus and community activities. Coordinates site safety and security, and provides on-site customer liaison during events. Delivers one-stop shop approach to event planning and coordination to ensure superior customer service.

  • Scheduling - Reviews daily, weekly, and monthly newspapers, news programs, periodicals; websites and other related communications materials to stay current with planned and scheduled activities that may have an impact on UCEN facilities and other campus resources. Manages and maintains the centralized EMS events calendar for the purposes of assisting management with oversight of UCEN facilities, human resources, and site safety and security. Pays specific attention to event dates/times/locations and support resources needed and coordinates notification to users and administrators when necessary regarding special and unusual events. This notification would include but not be limited University Police Departments, Aggie Dining, Transportation Services, SSC Compass USA, Environmental Health and Safety, Marketing and Communications, etc. Understands the structure of the university and assists event planners by advising them of event resources and directing them to the appropriate support departments.

  • Supervision - Provides indirect supervision and training of our services supervisors, sets up crew, student workers, and part-time event staff. Provides orientation program for event staff to ensure they provide superior customer service.

  • Event Supervision - Performs advanced work (pre/during/post event) with operations team members. Oversees and directs other technicians during an event. Performs other duties as assigned.
