GENERAL DESCRIPTION:

The External Event Liaison assists in the concert hall rental and contracting process of the Frost School of Music (FSOM) under the direction of the Director of Music Operations.

Primary Duties & Responsibilities:

  • Maintain email correspondence with potential renters via our FSOM Halls department email.
  • Track and make notes of the rental process through Excel.
  • Input and/or update booking reservations in the EMS system.
  • Prepare and submit contracts to the renters and UM Contracts Office.
  • Collect renter insurance documentation and preliminarily check insurance certificates for meeting UM’s requirements.
  • Maintain collegial relationships with renters and FSOM staff and administration.
  • Assist the Director of Music Operations in additional external rental activities, as assigned.

Knowledge, Skills, and Abilities:

  • Strong communication skills and the ability to clearly communicate complex topics, such as insurance requirements.
  • Proficient in Office Suite products, including Excel, Word, and Outlook.
  • Detail-oriented, and can take clear notes.

Education & Experience Requirements:

  • High School Diploma
  • Bachelor’s degree preferred or appropriate equivalent
  • Prior experience in events management a plus
