Position Summary Information


Primary Purpose of Organizational Unit
The Chemistry Department is one of the largest and most complex departments in the Division of Academic Affairs. There are 50 faculty members, 44 SHRA and 37 EHRA staff positions, 260 graduate students, 37 postdoctoral research associates, 700 undergraduate majors, and an annual total of approximately 10,000 registrations by all students in classroom and laboratory courses. The Department is housed in five buildings with over 580,000 sq. feet of space. The faculty participate in teaching assignments which involve an average of 200 students per faculty member per semester. The majority of faculty are research active and supervise graduate students working on their Masters or Ph.D. degrees, undergraduate students carrying out independent research and honors programs, research technicians and postdoctoral research associates. Primarily the research is funded by federal and private agencies such as NSF, NIH, Army, Navy, DOE, PRF and involves expenditures of more than nineteen million dollars annually. A total of over thirty-two million dollars from all sources is expended annually in the Department.
Position Summary
The primary purpose of this Events and Special Programs Planner position is to provide support of faculty in the Chemistry department. This role will also plan all seminars and colloquiums for the department. This Events and Special Programs Coordinator is part of the faculty administrative support team and reports directly to the Admin Team Leader. Each faculty administrative support role performs specific responsibilities for all faculty members in the department. Each member of the faculty administrative support team is expected to provide consistent support to each professor and their research groups. Chemistry department is one of the largest departments on campus and high-level support is required with a strong attention to detail.
The Events and Special Programs Coordinator will manage the vision, planning, and implementation of a variety of in-person and virtual events and programs to bring departmental-affiliated individual together to meet, work, promote, celebrate, and recognize members of the community for the department of Chemistry.
The Events and Special Programs Coordinator will collaborate with members of the department to plan events, but will be expected to independently plan the events with little oversight and work directly with vendors, catering, external partners, etc. This role will manage a budget of roughly $100,000/year.
This position will manage event timelines and budgets, work closely with different stakeholders and promote, market and advertise events. This position will also determine appropriate payment methods for expenses and execute timely payments.
Minimum Education and Experience Requirements
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

* Must have a strong understanding of event and project management and excellent ability to conceptualize, organize, implement and manage all events and project components.
* Must be able to handle sensitive information and have a strong knowledge of appropriate protocols and diplomatic skills.
* Must be able to manage budgets and organize efficient and cost-effective events and programs.
* Requires excellent communication skills. Experiences with event planning programs are highly encouraged.
* Sound judgment, ability to think and work under pressure, excellent communication skills, ability to work autonomously and self-manage, as well as part of a team, are essential for the success of this position.
Preferred Qualifications, Competencies, and Experience
Bachelor’s degree, with preference for degrees in hospitality management or similar; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. Strongly prefer industry-accepted Event Planner certification.
Required Licenses/Certifications
Special Physical/Mental Requirements
Occasional bending, lifting/moving, and reaching. Ability to move up to 25 pounds and stand for extended periods of time. Event planning and set-up may require moving tables and chairs and lifting cartons of drinks/food. Extensive walking is required during planning, the event itself, and pre-event setup and post-event strike.
