JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Pennsylvania State University Harrisburg Campus is seeking an Event Planner Professional in the Office of Continuing Education to be responsible for coordinating and executing a diverse range of events within the academic institution. This role plays a crucial part in enhancing the university's reputation, fostering community engagement, and supporting the overall mission of the institution. The Event Planner collaborates with various departments, faculty, and external stakeholders to ensure the seamless execution of events that align with the university's goals and values. This position is an HR 105 position at an 80% FTE. This is a TERM position and is funded for one year with an excellent chance of renewal.

The successful candidate will be responsible for the following: 

  • Event Coordination: Plan, organize, and execute a variety of events, including academic conferences, seminars, workshops, and other institutional functions. Coordinate logistics such as venue selection, catering, audiovisual equipment, transportation, and accommodations as needed. Develop and maintain a comprehensive event timeline and checklist to ensure all tasks are completed efficiently and on schedule. Utilize Penn State software and IT technology to execute events.

  • Stakeholder Collaboration: Work closely with academic departments, faculty, staff, and student organizations to understand their event needs and objectives. Collaborate with external vendors, sponsors, and partners to enhance event experiences and secure necessary resources.

  • Marketing and Promotion: Collaborate with the marketing and communications team to develop promotional materials for events. Utilize various channels, including social media, newsletters, and university websites, to effectively market events and drive attendance.

  • Compliance and Risk Management: Ensure events comply with university policies, guidelines, and regulations. Identify and mitigate potential risks associated with events, implementing necessary safety measures.

  • On-Site Event Management: Provide onsite event management to assist with logistics and mitigate any issues that may arise during the event.

Education:

  • This position typically requires an Associate Degree or higher, plus any related experience or an equivalent combination of education and experience.

The salary range for this position, including all possible grades is:

$42,100.00 - $61,000.00
