The Event Operations team within the Facilities & Hospitality department of Stanford GSB seeks an experienced and highly skilled Event Operations Manager to lead and manage event teams charged with producing high-quality events. Serve as project leader on complex, large-scale events, including responsibility for financial management. Provide training and guidance to colleagues. Work closely in partnership with multiple Stanford GSB departments and event owners to schedule, plan and execute events, such as seminars, conferences, executive programs, reunions, and other university related events. This position takes a leadership role in providing direction, training, and guidance and managing a portfolio of events and programs working with a diverse constituency of staff, faculty and students to schedule and produce logistically precise events.

The GSB campus properties include the Knight Management Center and GSB Residences on 19.5 acres with nearly 700K sq.ft. of buildings that support academic and administrative functions, student and executive residential experiences and food service programs. The Schwab Residential Center is a 24-hour, 7-day/week residence, conference center.

Your primary responsibilities include:

  • Serve as project lead of multiple activities, scope out project tasks/team assignments and guide team to create work plans and schedules, monitor progress, and meet milestones.
  • Oversee the management of scheduling and event teams to produce quality, multi-faceted events and productions. Provide guidance and policy interpretation.
  • Oversee scheduling strategy and logistics. Resolve scheduling conflicts and optimize venue reservations.
  • Schedule programs and events into appropriate GSB venues and recommend alternative non-GSB venues. Manage and monitor venue/space usage.
  • Operate as account manager on deliverables, program metrics, and status reports for the scheduling and event environment in the EMS software.
  • Work cross-departmentally to prepare and manage complex event budget for the GSB Graduation. Work with event owners to manage and/or assist with their program budgets.
  • Establish and maintain relationships with internal and external GSB and university partners. Act as department representative at cross-departmental project meetings.
  • Hire and oversee Schedule and Event Coordinator, Conference and Event Manager and other support staff, students and contingent staff.

To be successful in this position, you will bring:

  • Bachelor’s degree and five years of relevant experience or combination of education and relevant experience.
  • Superior project and event management skills.
  • Ability to manage a diverse team of staff and contingent labor, holding them to deadlines and the highest quality output.
  • Demonstrated experience with financial management of complex event budgets requiring excellent analytical skills.
  • Extreme attention to detail and deadlines; ability to prioritize and manage complex workflows.
  • Excellent communication, time management, and customer service skills. Must be well organized and detailed oriented.
  • Ability to accomplish goals working through formal and informal channels, with diplomacy and tactfulness.
  • Demonstrated high level of confidence in making strategic decisions, good judgment, and innovative and creative problem-solving skills.
  • Exceptional hospitality skills with the ability to cultivate partnerships.
  • Ability to interact and successfully collaborate with a broad spectrum of contributing groups and customers.
  • Knowledge of Microsoft Office suite and knowledge of cloud applications such as Google suite. Willingness to learn department reservation system and other applications.

In addition, our preferred requirements include:

  • Experience with venue management and scheduling.
