FUNCTION OF THE UNIT
Academy for Professional Excellence , a project of San Diego State University School of Social Work , was established in 1996 with the goal of revolutionizing the way people work to ensure the world is a healthier place. Our services integrate culturally responsive and recovery-oriented practices into our daily work to promote healing and healthy relationships. Providing around 70,000 learning experiences to health and human service professionals annually, the Academy provides a variety of workforce development solutions in Southern California and beyond. The Academy Evaluation Services Team provides evaluation support to all Academy programs, including assistance in developing logic models and defining expected outcomes of training and Academy services. In conjunction with Academy programs, they develop evaluation plans, design evaluation tools and electronic data collection systems, analyze data, write reports, and provide feedback to both Academy programs and Academy stakeholders. They also assist programs in using evaluation results to enhance training and services.
Responsibilities
PURPOSE OF THE POSITION
Under the general direction of the Evaluation Systems Supervisor, the Evaluation Systems Analyst is responsible for assisting with evaluation projects, data systems, data analysis, data quality assurance, and reporting for the Academy for Professional Excellence. This position is responsible for supporting Academy programs in meeting their evaluation needs, including participating in the development, revision, and implementation of evaluation procedures, development and maintenance of internal and external data systems, analysis of evaluation data, and production of evaluation reports. The Evaluations Systems Analyst will maintain databases that house training and evaluation data; train support staff on evaluation and tracking procedures, and conduct and oversee data visualization, coordination of dashboards, and statistical analyses of evaluation data. This position is responsible for assisting in determining methods, techniques, systems, and materials required to meet training evaluation needs. This position is fully remote and works primarily from a home office with some travel to county offices required.
SPECIFIC DUTIES
This is a full-time position and is based on contract funding subject to annual renewal. The position is subject to intermittent overnight travel and work shifts outside of normal business hours including weekends and evenings.
Note: Some duties may include working with and/or exposure to sensitive/traumatic topics or material dealing with child abuse, elder abuse, and/or issues and scenarios related to mental health, substance use, or racism.
EVALUATION SYSTEMS (60%)
  • Responsible for advanced-level survey and dashboard creation, programming, distribution, and maintenance
  • Assist the Evaluation Systems Supervisor with data dashboard coordination
  • Manage and track requests for support via the Zoho ticketing system, including communication with internal evaluation team members/program staff and completion of evaluation requests
  • Create new reporting templates and procedures and communicate changes to appropriate partners
  • Maintain databases; gather, organize, analyze, provide reporting, and interpret data
  • Train support staff on evaluation systems, technology, and procedures
  • Oversee maintenance of data collection forms (feedback surveys, needs assessments, pre/post assessments, etc.)
  • Participate in identifying new sources of data and methods to improve data collection, analysis, and reporting
  • Assist with quality assurance activities, including the creation and maintenance of procedures, data checking, and data clean-ups for surveys and dashboards
  • Attend and facilitate Zoom meetings
  • Create and maintain data codebooks
  • Provide evaluation technical assistance to Academy stakeholders
  • Assist in making progress toward program goals, priorities, and major work schedules

DATA DASHBOARDS AND DATA/INFORMATION VISUALIZATIONS (30%)
  • Lead data dashboard visualization activities throughout the year and produce data visualizations for annual reporting in alignment with evaluation team needs and Academy branding guidelines
  • Ensure accurate data collection, transfer, archiving, maintenance, analysis, and communication across programs

OTHER DUTIES AS ASSIGNED (10%)
  • Stay up to date on all information regarding evaluation processes, including resources, concerns, relationships with constituents, and county organizational culture
  • Establish and maintain a positive teamwork environment
  • Miscellaneous ad hoc evaluation and reporting requests
  • Perform other duties as assigned which are in the best interests of the Academy for Professional Excellence
  • Travel to off-site locations for Academy and Program meetings (primarily in Riverside and San Diego).

  • Ability to foster a relationship that reflects our vision of diversity, equity, and inclusion
  • Fluency in using standard office software packages for report preparation, presentation designs, and other work products as needed, including Microsoft Word, Excel, and PowerPoint
  • Knowledge of Qualtrics survey and dashboard systems
  • Previous experience using SPSS
  • Previous experience working with Learning Management Systems and Training Management Systems

Qualifications
MINIMUM EDUCATION
  • Equivalent to a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

MINIMUM EXPERIENCE
  • 5-years of progressively responsible experience performing varied or specialized administrative and analytical duties and/or service as a program administrator.

PREFERRED QUALIFICATIONS
  • Previous experience conducting program evaluations for health and human service programs.
