Job Summary:
The Enrollment Services Administrative Assistant/Academic Records and Financial Specialist provides administrative and clerical support to the Offices of Enrollment Services. Responsibilities include but are not limited to updating and filing of records and documents; assisting with the processing of student payments, deposits, and refunds; assisting students with online registration; assisting students with inquiries at the Enrollment Services Office; updating, generating and distribution of reports; proofreading of documents; and processing requests for transcripts and other documents.
Required Qualifications:
Principal Duties:
1.      As a part of the Enrollment Services team, responds to in person, telephone and e-mail inquiries and general office administrative duties.
2.      Files student and department records (electronic and paper), including generation of new files.
3.      Processes ID cards for students, faculty, and staff.
4.      Enters and updates student and other information in Colleague and other systems, including address, demographic, immigration, medical and placement testing data, and information.
5.      Assists and guides students when they seek assistance with Web Advisor/Student Planning regarding online registration and other information on the web.
6.      Assists with Financial operations of the Enrollment Services office including:
a.      billing and processing of student payments.
b.      back up for payments and deposits during regular staff holidays.
c.      processing of refunds, including admission deposit refunds, and financial aid adjustments.
7.      Oversees Document Request process.  Collects and processes requests for documents – (transcripts, confirmation of enrollment, graduation verification letters).
8.      Maintains, monitors, and updates transfer credit requests in the BCCAT transfer database.
9.      Reviews and processes requests for Payment Deferment Plans.
10.      Prepares and organizes distribution of student tax document forms in accordance with Canadian taxation regulations.
11.      Oversees application of Financial Aid to student accounts.
12.      Prepares daily deposits of revenues received.
13.      Oversees awards presentations and recognition for academic achievement.
14.      Assists students with problems related to their academic program, escalate unresolved issues to the applicable academic department for resolution.
15.      Assists students who may be missing transfer credits which have not been posted to their transcript during the admissions process.
16.     Creates and updates degree requirements and curriculum tracks in the Student Planning online academic advising and registration system; organizes student training sessions and monitors student plans.  Trains and supports faculty academic advisors in the system.
17.   Participates in Commencement Planning Committee and organizes Pre- Commencement Dinner.
18.   Proofreads and checks documents.
19.   Updates information in Robinson Student Information System and processes reports.
20..   Performs other work-related duties as assigned.
Minimum Qualifications:
1. High School degree or GED required.
2. A minimum of 2 years successful experience providing diversified administrative and office support in a fast-paced environment, preferably in an academic setting, including budget management and basic clerical accounting/bookkeeping skills.
3. Proficiency utilizing computer systems for data management, word processing, spreadsheet, e-mail, internet research and other applications. High degree of competence with Microsoft Office Suite (Word, Excel, PowerPoint, Access). Familiarity with Ellucian Colleague is an asset. Ability to quickly learn new applications as required.
4. Familiarity with a college environment, as a student or as an employee, to understand the processes performed in an Admissions/Registrar’s office.
5. Experience showing a high level of attention to detail and accuracy.
6. Strong organizational skills.
7. Strong interpersonal and written communication skills.
8. Must be available to work overtime and non-standard hours as required, i.e., evenings, weekends, during peak periods throughout the year.
9. Canadian residency or work permit required.
10. Employment is contingent upon a satisfactory background check. Candidates for hire will be required to sign a waiver authorizing the background check.
