Located in the Division of Academic Affairs, Enrollment Management & Services (EM&S) advances the educational mission of the University by providing leadership for the University's enrollment planning and management efforts including the comprehensive services and programs that promote the recruitment, matriculation, financial support and academic success of students. Enrollment Management & Services, utilizing the PeopleSoft enterprise system, supplemental software applications, and comprehensive reporting systems support the enrollment planning process with critical data for students, academic planning, and financial planning.


The Enrollment Management Marketing and Communications Lead will coordinate the creation and maintenance of all EM&S communication templates both within PeopleSoft and other related platforms; collaborate with EM&S leadership and staff on creating strategies, best practices, and design standards; review and sign off on publications for all of EM&S including Admissions, Registrar's Office, Financial Aid, and Outreach; proofread communications created by communications staff to ensure compliance with EM&S standards targeted for internal and external audiences; as required and appropriate, collaborate with designers, photographers, administrators, vendors, faculty and others to achieve EM&S marketing and communications goals; work with communication staff to coordinate communications campaigns, discuss needed research, and set communication calendars. As required and appropriate recommend to EM&S leadership communications priorities and resource allocation; serve as the EM&S liaison to the campus-wide communications workgroup led by Strategic Communications; collaborate with communication staff to create departmental marketing and communication plans for each of the departments; create flyers, brochures, emblematic, etc. as requested; and perform other administrative and communication duties as assigned. The incumbent will serve as the resident expert on maintaining and enhancing EM&S websites; utilize available tools (Cascade, HTML, OUCampus, etc.) to maintain our websites; coordinate the creation and/or maintenance of all EM&S websites ensuring department standards are followed for consistent branding, messaging, and look-and-feel; review and sign off on department websites for all of EM&S including Admissions, Registrar's Office , Financial Aid, and Outreach; responsible for the creation and publishing of all online marketing material (including web pages and social media) campaigns; the creation and publishing of electronic communications with stakeholders; manage social media marketing campaigns and day-to-day activities including: develop relevant content topics to reach the department's target audience. Create, curate, and manage all published content (images, video, written and audio/podcast)

The incumbent will Lead the Communications Team including one or more full-time communication specialists; ensure very high service standards for EM&S functional staff; mentor the Communications Team on best practices for planning and executing marketing campaigns and systems upgrades including communication with functional staff; maintain a high level of customer service standards and positive working relationships with all stakeholders; plans, organizes an coordinates formal and informal orientation and training of communication specialists; provides team leadership by disseminating information, providing feedback, advising, and coaching; represent EM&S in assigned on-and-off campus committees, trainings, workgroups etc. as they relate to marketing and communications; and provide input to the Director on team performance. The Enrollment Management Marketing and Communications Lead will develop strategies to promote the image of the department and/or university by using market research data to determine the most effective techniques and approaches for reaching target audiences; identifying the needs and interests of various constituent groups; translating the results of research into strategic communication efforts including selecting the best medium to achieve goals; creating marketing programs to better position the university to achieve its goals; and overseeing telemarketing outreach functions; designs, develops and implements marketing strategies for recruitment and yield based on department, division, campus and statewide data related to enrollment growth and priorities of the Cal Poly Pomona campus; implements opportunities to positively position the campus and undergraduate enrollment options via department web, print and other communications. As appropriate and/or as requested, the incumbent will design, develop and conduct focus groups to assist in developing marketing and recruitment strategies, marketing and publication materials and programs/initiatives; serve as a key member of department event planning groups, support planning efforts through the creation/securing of event marketing material, creation of event registration, and take the lead on pre-and post-event communication with participants. The incumbent will collaborate with department and technical staff on the implementation and ongoing utilization of current and/or future communication platforms such as CRMs, web content management, PeopleSoft bolt-ons and other related technologies; serve as a liaison between the functional and technical teams related to communication processes ensuring EM&S is able to fully utilize all technology platforms as its disposal; serve as project lead on all projects related to EM&S communications infrastructure; and coordinates implementation of Customer Relationship Management platform (e.g. Slate, Hobsons) and provide ongoing operational support.


Bachelor's Degree in public relations, journalism, marketing or a related field with demonstrated experience in storytelling, editing especially on digital platforms AND two (2) years or related professional or technical experience. Comprehensive, in-depth knowledge of communications, strategic communications, media, and/or marketing theories and concepts in order to develop and execute communications strategies and plans to promote and position the university. Expert knowledge of university communication objectives and ability to translate them into effective communication and media campaigns. Ability to understand issues from a broad, strategic perspective. Ability to effectively manage media relations and apply effective media strategies and techniques.


A Master's degree is preferred but a Bachelor¿s degree in a related field and knowledge of social networking and communications technology is desired. Experience in marketing and communications and experience in the delivery of services /programs to students and external constituents. Must have demonstrated excellent written and oral communication skills, outstanding interpersonal skills in interacting with a diverse population. Demonstrated knowledge of graphics and graphics design including web development. Must have knowledge of higher education and enrollment management issues, policies, and practices; the ability to work independently, use good judgement, initiative and resourcefulness in planning and implementing work strategies and programs. Must be proficient with PC environment, the Internet, word processing and simple databases. Must have the ability to manage change and the ability to use technology in the development of print, web and media publications. Demonstrated organizational skills and the ability to manage multiple projects. Experience leading small work teams required.
