Position Description


The Enrollment and Outreach Coordinator, Admissions and Enrollment Services, provides pre- enrollment support for courses and programs across OEE. This position acts as primary point of contact for prospective learners, including responding to inbound general program and admissions inquiries, as well as generating outbound engagement with prospective learners to build relationships and support enrollment goals. The Enrollment and Outreach Coordinator works closely with and supports OEE business units, core functions, and faculty to meet business objectives.

The Office for External Education is a highly entrepreneurial department within Harvard Medical School delivering a portfolio of innovative medical education opportunities, through live, online, and blended programming as well as digital, multimedia, and print resources, to a breadth of learners, including current and aspiring health care professionals; leaders at all levels within companies that serve the health care industry; and individuals seeking to live healthier lives. Since its inception in 2014, the Office for External Education has expanded in size and scope, with revenues approaching $100M in 2023 supported by a team of nearly 200 faculty and staff. Revenues are generated through B2B and B2C relationships, as well as grant and gift funding.

Key responsibilities include:

  • Inquiry Support and Prospective Learner Relationship Management
    • Responding to pre-enrollment questions in a timely manner, including resolving admissions and enrollment challenges for customers;
    • Creating templates in Zendesk to support efficiencies and rapid response times for a high volume of inbound communications;
    • Maintaining accurate records of inquiries, communications and enrollment progress using CRM software;
    • Following up with prospective learners to address any outstanding questions or concerns.
  • Enrollment Processing
    • Processing for enrollment-oriented activities;
    • Ensuring relevant stakeholders meet established deadlines required for enrollment-related review;
    • Tracking and stewarding of pre-enrollment payments from prospective learners and institutions.
  • Reporting and Analytics
    • Reporting on enrollment trends, conversion rates and other relevant metrics to support AES strategic decision-making.
  • Process Improvement
    • Providing feedback for process improvement and identifying opportunities for streamlining internal workflows.
  • Other duties as assigned
  • This position will use Cvent, Zendesk, Salesforce, Marketing Cloud, Mailchimp, and other enrollment/admissions support tools.


    This position is a hybrid role with most work completed remotely if preferred. Coordinator will be expected to come to campus in Boston, MA for quarterly team trainings or meetings and may be asked to travel to campus or on-site more frequently to support relevant AES events as needed.


    Basic Qualifications

    Minimum 3 years of related experience in admissions, student services, or customer service. Education beyond high school may count toward experience.


    Additional Qualifications and Skills

    • Bachelor’s degree preferred.
    • Experience in graduate or postgraduate higher education setting preferred.
    • Strong interpersonal, customer service skills are preferred.
    • Strong writing skills preferred.
    • Ability to prioritize work in an environment with multiple competing priorities.
    • Ability to work independently with minimal supervision.
    • Ability to handle complex and confidential information with discretion.
    • Competency in using a variety of computer software.

    Additional Information

    Travel offsite both domestically and internationally on occasion to staff programs and/or host events will be required.

    Work Format Details

    This position is based in Boston, but the work may be done primarily remote. Any remote work must be performed in a state in which Harvard is registered to do business (CA*, CT, GA, IL, MA, MD, ME, NH, NJ, NY, RI, VA, VT, and WA). Individual flexible and remote work options for this role will be discussed during the interview process. *Note: Harvard employees working in California must be exempt.
