Educational Support Coordinator
Primary Purpose:
Under general direction of the Assistant Director, this multifaceted position is responsible for coordinating and providing support to community outreach and service programs (i.e., Medicare, Valley Mountain Regional Center), related grants and contracts, and key Pharmacy School initiatives (i.e., Rx4Success). This position will be front-line support to all stakeholders and serve as the primary contact for all event scheduling, logistics, communications, and general coordination.
The individual should have a history of demonstrated success in providing support, maintaining appropriate levels of professionalism and confidentiality, be self-motivated and accountable, and one who thrives working in a team environment.
Essential Functions:

  • Scheduling:
    • Serve as the main point of contact for inquiries and direction for all stakeholders for events in relation to community outreach and service programs, related grants and contracts, and key school initiatives.
    • Work closely with outreach partner sites to schedule outreach events and assist with appointment scheduling.
    • Coordinate the organization of outreach personnel including preceptors, students, community volunteers, and other stakeholders.
    • Serve as the liaison for current and prospective students (e.g., High School and Undergraduate).

  • Logistics:
    • Oversight of event logistics, including booking event space, securing of food, parking validation/directions, site layout, etc.
    • Create and submit all logistical requests as needed to ensure building access, setup/teardown, and technology are scheduled.
    • Ensure registered groups have contacts for campus partners to assist with execution of events including but not limited to technology, dining, or physical plant.
  • Communications:
    • Create and distribute communication to all stakeholders on planning and scheduling of activities and events.
    • Develop, review, and/or update flyers and other advertising materials.
    • Update patient materials and social media/website information to showcase and accurately reflect upcoming events.
  • Administrative:
    • Conduct data management and event project tracking.
    • Conduct budget monitoring, including ordering, tracking and reconciling purchases in accordance with University purchasing and business policies.
    • Coordinate appreciation mailings.
    • Track all required documentation including training, proof of waiver, licensure status, and vaccination requirements from all necessary stakeholders for event attendance.
    • Support classes/courses related to outreach and community events as deemed appropriate by Assistant Director.
  • Event attendance may be required, including transportation to and from the event site.
  • Perform other related duties as assigned.

Minimum Qualifications:
  • Two (2) years of post-high school education (One (1) year of experience in the same/similar position is equivalent to one (1) year of post-high school education).
  • One (1) year of experience providing administrative support and/or customer service.

Preferred Qualifications:
  • Bachelors Degree.
  • Requires intermediate to advanced computer skills (e.g., MS Office Suite, Google Workspace, SurveyMonkey, internet navigation, etc.).
  • Excellent communication (written and verbal) and interpersonal skills are crucial, as this position interacts regularly with both internal and external constituents.
  • Must have the capacity to exercise diplomacy and deal effectively with people in a variety of circumstances in a calm, precise way.
  • Ability to work independently with minimal supervision, prioritizing tasks, and work to meet deadlines.
  • Must be able to multi-task, correctly interpret, and follow directions while working under tight deadlines.
  • Must have a professional demeanor and respect for others and maintain confidentiality.
  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
  • Ability to engage and integrate culturally responsive practices and knowledge in their work.

Frequent sitting, walking, and standing; lifting up to twenty-five (25) lbs.; bending; kneeling; stooping; reaching, repetitive hand/wrist motion while using a computer keyboard and phone; climbing stairs. Transportation to/from events may be required.
Work Environment/Work Week/Travel:
Work is performed in a standard office environment with the use of standard office equipment (computer, telephone, printer, copier, etc.). Work is typically performed during standard business hours, with required evening and/or weekend hours as scheduled for events. During peak season, hours may be shifted to fit business needs temporarily. Local travel required for event attendance and logistics management.
Hiring Range: $21.00 - $23.96 per hour. We consider factors such as, but not limited to, scope and responsibilities of the position, candidates qualifications, internal equity, as well as market and organizational considerations when extending an offer.
