JOB SUMMARY
The College of Liberal Arts & Sciences seeks applicants for a full-time Educational Program Assistant 1 in the Department of Psychological Sciences. Under the direction of the Psychological Sciences Program Manager, this position will provide programmatic and administrative support to the Department, which includes research hiring, instructional hiring, and personnel actions including visa management, H1B and J1 processing, Conflict of Interest, and Dual Employment requirements and other HR-related activities. The incumbent is expected to work independently within the defined guidelines established by the program and the supervisor.
DUTIES AND RESPONSIBILITIES
- Manage graduate course scheduling in collaboration with the Associate Department Head including cross-listed course offerings, updates, cancellations, and finalization of the master schedule.
- Manage and update the Department's data in CLAS's Business Management Service (BMS) course scheduling system by generating reports, ensuring instructor accuracy and course/teaching loads are met, and collaborating with the Budget Manager on instructional cost outcomes.
- Maintain and update the administrative training and procedure manuals for the graduate program.
- Arrange travel for the Associate Department Head and academic visitors to primarily, the graduate program, and secondarily, the front office. Assist with travel expense report submissions and out-of-pocket reimbursements.
- Make advisor assignments and updates.
- Complete the annual American Psychological Association Annual Survey for each graduate program in the Department.
- Collaborate with the Payroll Coordinator on admission and associated offer letters, speak test results, and contractual graduate student employee guidance.
- Make University compliant purchases with the Department's ProCard and through HuskyBuy, reallocate and reconcile purchases, setup suppliers as needed, primarily for the graduate program and secondarily for the Department.
- Ensures that graduate payroll, graduate teaching assignments, and graduate fellowships and scholarships are all completed and submitted according to University policies and deadlines.
- Plan and manage events for graduate symposiums, guest speakers, group advising sessions, peer advisor orientations, and other undergraduate program events including managing the catering, room arrangements, and associated promotional materials.
- Respond to email inquiries to the graduate mailbox, establish template responses, identify patterns, and make recommendations on communications to be included in the graduate newsletter and listservs.
- Manage social media communication and website updates in collaboration with CLAS Communications ensuring College and University standards are met.
- Compile and distribute graduate data for annual departmental reports and digital displays.
- Reserve and assign graduate classrooms.
- Provide general office support, including answering phones, responding to inquiries, greeting and directing visitors, directing calls, and related tasks.
- Assist with inventory management including asset tracking and surplus.
- Organize and distribute mail, deliveries, and returns for the Department.
- Perform other related duties and projects as assigned.
MINIMUM QUALIFICATIONS
- Bachelor’s degree in business or a related field.
- Up to one year of related experience.
- Excellent communication and interpersonal skills.
- Demonstrated customer service skills.
- Proven ability to manage time in a fast-paced, high-volume environment.
PREFERRED QUALIFICATIONS
- Experience working in a higher education setting.
- Ability to work adaptively in a deadline-driven environment.
- Excellent computer skills including experience with Microsoft programs.
- Ability to engage, connect, and work with diverse student, administrative, and faculty populations and provide a commitment to the values of diversity, equity, and inclusion in an educational setting.
APPOINTMENT TERMS
This is a full-time position. The University offers a competitive salary, outstanding benefits including employee and dependent tuition waivers at UConn, and a highly desirable work environment. Salary will be commensurate with the successful candidate's background and experience. This position will be in person at the UConn Storrs campus in the Department of Psychological Sciences. Other rights, terms, and conditions of employment are contained in the collective bargaining agreement between the University of Connecticut and the University of Connecticut Professional Employees Association (UCPEA).
