Position Summary

The UNM School of Medicine Curriculum Support Center & Preceptorship Programs, a division of Undergraduate Medical Education, is seeking a detail-conscious, highly organized, and enthusiastic individual to join their administrative support team. This position is responsible for coordinating details for class sessions (both in-person and online), assisting in maintaining the online learning management system and providing vital administrative support for the day-to-day operations of courses in the MD/PA curriculum.
This individual must enjoy interacting with a wide variety of people, including students and faculty, care about accuracy and quality, have great organizational skills, think creative problem-solving is fun, enjoy a challenge, and work as a member of a well-functioning team.
Additional duties include but are not limited to the following:
• Performing inventory maintenance and purchasing
• Providing on-site classroom support including materials preparation; room set up and clean up for course sessions; troubleshooting during class sessions.
• Coordinating details for student placements in clinical learning environments
• Completing data entry and maintaining course records using online tools as well as Microsoft Office applications
• Communicating effectively with faculty, staff, students and patient presenters through email, phone, and face-to-face interactions
• Providing meeting support to include scheduling room reservations, agenda creation, meeting minutes and distribution; and other support tasks as assigned.
Finalists should be prepared to provide official educational transcripts if selected for hire.

Conditions of Employment
Minimum Qualifications

High School diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

Experience working with One45 Curriculum Management System and EXXAT
Database
• Experience working with Brightspace Learning Management System
• Experience working in a fast-paced environment
• Experience working with medical students, faculty, staff and and/or
preceptors
• Experience in scheduling and coordinating meetings for individuals with
complex schedules
• Experience working in an academic setting
• Experience with the Banner Finance System (Chrome River)
• Prior Pcard experience, including Pcard reconciliation
• Customer service experience
• Event planning experience
• Detail oriented
• Effective use of organizational skills
• Exceptional written and oral communication skills
Proficiency with:
• MS Word
• MS Excel
• MS Access
• MS Outlook

Additional Requirements Working hours are Monday through Friday, 8 a.m. to 5 p.m. However, occasional weekend and/or evening work may be required, depending on department needs.
