Position Description:

Primary Functions

  • Independently execute institutional or program activities (e.g., educational events, training, learner recruitment, interviews, orientation, schedules, and graduation).
  • Maintain proficiency in accreditation, board, and institutional requirements. Coordinate and monitor activities related to these requirements to ensure full compliance.
  • Maintain and create, as needed, Program Letters of Agreement for residency rotation locations.
  • Support the designated institutional official, Program Director, Department Chair, and other leaders on issues related to the requirements from accreditation agencies, national boards, and affiliates.
  • Administrative support and assistance for the faculty and midlevels within the residency program.
  • Serve as primary liaison with faculty, administration, other departments, affiliated institutions, and national organizations.
  • Develop and maintain database(s) to track, schedule, and record activities related to the institution, program(s) and learners.
  • Create, input, and maintain the monthly clinic schedule in Qgenda for faculty, midlevels and residents.
  • Schedule precepting, sessions without side preceptors, meetings, additional learning opportunities, and the full schedules for all activities for faculty and residents
  • Create and log all long-term scheduling including call schedules, faculty FMTS schedules, preceptor availability schedules, all faculty scheduling guidelines and tracking information, faculty vacation/CME/ and unavailability requests, holiday tracking and holiday work distribution creation of schedule for specialty clinics, Epic scheduling edits, coordination and completion of scheduling checks between Qgenda and Epic
  • Track absence/sick/vacation logs and redistribute duties accordingly for faculty and residents.
  • Provide information, support, and problem-solving on a wide range of issues for leaders, faculty, staff, and learners.
  • Coordinate recruitment of preceptors, instructors, and speakers.
  • Create brochures, flyers, handbooks, and other educational materials.
  • Coordinate assessment and evaluation activities internally and externally.
  • Track, complete, and submit faculty reimbursement paperwork.
  • All resident reimbursement, allowance, and submit the resident payroll information
  • Become well-informed with ACGME Family Medicine guidelines.
  • May monitor program budgets and lead or oversee the work of support staff.
  • Additional duties as assigned.

Minimum Required Education: Bachelor’s degree

Minimum Required Experience: 3 years
