Job Description

The Arizona Center for Medieval and Renaissance Studies Press, (ACMRS Press) a unit within The Arizona Center for Medieval and Renaissance Studies is looking for an enthusiastic Editorial Program Coordinator Sr.  The Editorial Program Coordinator Sr. will be responsible for coordinating ACMRS Press projects and providing general administrative support to Press staff encompassing all activities of the Press. Reporting to the Publisher & Managing Editor, the Editorial Program Coordinator Sr. will work collaboratively with the ACMRS Press team as well as the staff of our parent Center, ACMRS (https://acmrs.asu.edu/about/team ).

Salary Range

$56,000 - $62,000 per year, DOE


Essential Duties

General and reporting

  • coordinate press projects by setting up and maintaining project logs in our project management software, Monday.com and reporting regularly to the Publisher and Managing Editor on issues and progress.
  • report quarterly sales/return numbers; assist Publisher & Managing Editor in preparing Annual Report
  • provide general administrative support for Press staff.

Travel and Conferences

  • attend conferences in relevant subject areas as a representative of the Press for marketing and manuscript acquisition
  • arrange conference registration for book exhibits, purchase conference advertising, handle payment of associated fees, and order books and other items to be displayed

Contracts
  • prepare publishing agreements for authors and editorial board members
  • send Author questionnaires once under contract
  • assist Publisher & Managing Editor in negotiating with Agents and rights holders as needed

Editing and production
  • track peer review of proposals and manuscripts
  • track and oversee permissions clearance
  • contact and coordinate freelance copy editors and indexers for manuscripts and journals
  • ensure that required revisions have been carried out on edited manuscripts
  • report to Publisher & Managing Editor when scholarly or structural revisions are required and consult as needed on manuscript schedules, priorities, and any editorial problems

Financial
  • collaborate with ACMRS Business Operations Specialist to manage payments to reviewers, editors, authors, and others.
  • provide an approver role in Workday for the Business Operations Specialist
  • prepare invoices for ACMRS Press, editorial boards
  • refer contractors to Business Operations Specialist to be set up as a supplier in Workday for payment processing.
  • prepare backup for all P-Card payments.
  • assist Publisher and Managing Editor in consultation with Business Operations Specialist on quarterly and annual publishing and grant budgets.
  • calculate annual royalties at end of FY and prepare author invoices

Marketing
  • send books to Scholar’s Choice for display at conferences ACMRS Press does not attend
  • send titles for book prizes
  • work with Play On! Shakespeare for marketing their titles at conferences
  • send review copies of books to journals

Other
  • hire, train, and supervise student interns each semester (in collaboration with other Press staff)
  • other duties as assigned by the Publisher & Managing Editor

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND four years administrative/coordinate program experience; OR, Master's degree in field appropriate to area of assignment AND two years administrative/coordinate program experience; OR, Eight years of progressively responsible administrative/coordinate program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Demonstrated knowledge of relevant IT software 
  • Experience in  editing and writing skills
  • Demonstrated knowledge of university policies and procedures
  • Experience in maintaining effective, respectful working relationships
  • Demonstrated knowledge of basic computer programs, including Microsoft Office Suite, Workday and Peoplesoft

Working Environment

  • Activities are primarily performed in a regular, climate-controlled office setting subject to extended period of sitting
  • Use office equipment including a desktop computer 
  • Lift up to 20 pounds
  • Clearly communicate to perform essential duties 
  • Ability to work both independently or within a complex structured team
  • Work form general instructions on standard job duties and specific directions/instructions on new assignments
  • Exercise judgement within defined procedures and practices to determine appropriate action
