The Department of Economics is an inclusive, ambitious, innovative, and large department within the Social Sciences Division. The department has approximately 40 senate and non-senate faculty, offers a Ph.D. program and professional master’s degree program, and several options for undergraduate study including multiple bachelor’s degrees, combined majors with mathematics and environmental studies, one undergraduate minor and a concentration making it home to approximately 1600 declared and prospective undergraduate majors and graduate students. Members of the department come from a diverse background with many from international locations as well as from California and the greater U.S. The department hosts weekly colloquia and several student-facing events across the year. Faculty, staff, and students work well together. JOB SUMMARY

The Economics Assistant Department Manager uses professional concepts to apply organization policies and procedures to oversee a variety of ongoing administrative operational activities. Under the general supervision of the Economics Department Manager, the Assistant Department Manager supports the department by administering defined operational programs with a primary focus on academic personnel including student employees and non-senate faculty personnel, and works on all aspects of researcher and faculty recruitment. This position supervises the department's Academic Assistant who oversees visitors, seminars, and instructional support. The incumbent assists with facilities management, provides purchasing support, and serves as the department expert for procurement systems and financial affairs policy. The incumbent analyzes policy, department resources, and past precedents, and resolves operational problems of moderate scope.

 

APPOINTMENT INFORMATION

Budgeted Salary: $89,350 - $104,400 / Annually. Salary commensurate with skills, qualifications and experience.
Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. The salary shown above is the budgeted amount the University reasonably expects to pay and the salary extended should not exceed this posted amount.

JOB DUTIES

40% - Academic Personnel, Curricular, and Instructional Support

  • Manages the lecturer pool, lecturer hires, onboarding, reappointment, workload modifications, notices, promotion, and merit reviews.
  • Communicates with other department and campus members to support new hires.
  • Coordinates non-student research hires, visa sponsorship, and reappointments.
  • Oversees department-wide reader-tutor hires.
  • Works with the Department Chair, Department Manager, search committees, and APO on all aspects of faculty recruitment—i.e., search plans, policy questions, reports, and visits.
  • Advises the Chair and committees on relevant policies for compliance and fair-hiring.
  • Prepares senate faculty merit and promotion files.
  • Assists in facilities organization, safety, and space planning for permanent hires and temporary visitors or hires.

40% - Department Operational Affairs

  • Serves as the department expert for procurement systems and financial affairs policy.
  • Provides purchasing support.
  • Provides donor relations support.
  • Researches complex financial discrepancies, and escalates customer service problems and vendor concerns.
  • Gathers and analyzes financial and other resource data; prepares reports or analyses of operational activities, evaluates current and proposed services, etc.
  • Conducts trend analyses and helps develop resulting recommendations.
  • Develops and maintains budgets.
  • Participates in the development and revision of standard operating procedures and guidelines.
  • Assesses and recommends changes to maintain compliance with federal and state requirements and internal policies.

20% - Mentorship & Student Supervision

  • Supervises, trains, mentors, and evaluates the performance of the Economics Department Academic Assistant, and recommends corrective action when necessary.
  • Supervises and mentors student employees in the department.

 

REQUIRED QUALIFICATIONS

  • Bachelor's degree and / or equivalent relevant experience and /or training.
  • Solid communication and interpersonal skills to communicate effectively with all levels of staff in writing.
  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally.
  • Solid organizational skills and ability to multi-task with demanding timeframes with accuracy and attention to detail, under pressure of competing deadlines and interruptions.
  • Effective listening and notetaking skills.
  • Ability to use sound judgment and discretion in responding to issues and concerns and working with sensitive or confidential personnel or organizational matters.
  • Ability to work with ambiguity, shifting priorities and work in a fast-paced environment.
  • Ability to search for, review, interpret and apply policy and resources.
  • Accurate and consistent record keeping skills.
  • Working knowledge of standard computer application programs (i.e., MS Office, Google Suite, Adobe, DocuSign, Zoom).
  • Ability to learn new enterprise systems.
  • Ability to perform math to calculate fractions and percentages to coordinate faculty appointments, process reimbursements, and create and monitor budgets.
  • Ability to be a highly effective team member and work with a high degree of independence, and follow through on written or verbal instructions.
     

 

PREFERRED QUALIFICATIONS

  • Experience working in a higher education setting.
  • Working knowledge of campus enterprise systems such as AIS, DivData, CruzBuy and UCSC Recruit.

 

SPECIAL CONDITIONS OF EMPLOYMENT

  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Ability to work long periods of time at a computer with or without accommodation.
  • The selected candidate will be required to work primarily on campus, with periods of remote work possible based on operational needs. If a hybrid work schedule is confirmed, the selected candidate must be able to work successfully from a home/remote office and be able to fulfill the requirements of the UCSC telecommuting agreement.
  • Ability to work occasional evenings and weekends as directed.
  • Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
  • Ability to maintain appearance and conduct suitable for working in a professional setting.
