The School of Electrical and Computer Engineering connects our world. The Opportunity

The School of Electrical & Computer Engineering is seeking a collaborative professional to serve as our Department & Events Coordinator. This is an opportunity to work with a positive group of people in an evolving work environment where staff development is promoted. Under the direction of the Director of Administration and Assistant to the Directors, you will:

  • Provide administrative assistance to up to 20 faculty members, their visitors, postdocs, students, lecturers and emeritus faculty.  This includes assisting with preparation of course material, ordering research supplies, travel reimbursement, and providing backup support for other administrative assistants.  
  • Coordinate events for the School, including seminars, colloquia, and other various events.  Details include travel arrangements, room scheduling, catering, speaker coordination, and marketing for events. In-person and virtual components for events include AV setup and Zoom integration.      
  • Provide facilities and safety program support for Phillips Hall by being the departmental contact for online safety training courses for the department, including students.  Oversee the Graduate Safety Representative Group.  Maintain oversight of the appearance and organization of shared faculty and student spaces.
  • Support for Phillips Hall, including responding to complex calls and routine/non-routine inquiries; scheduling appointments, meetings and locations using an electronic calendar and university scheduling system; and serving as the mail coordinator.  

Required Qualifications:

  • Associates Degree and two to four years of related experience, or equivalent combination of education and experience.
  • Excellent customer service skills and the ability to work with a diversity of stakeholders, including faculty, staff, and students. 
  • Effective communication skills, including interpersonal, verbal, written. 
  • Ability to work effectively in and environment with frequent interruptions and the ongoing ability to prioritize tasks as they arise. 
  • strong organizational skills and the ability to anticipate and plan ahead for events and semester activities. 
  • Ability to be proactive and independent while working closely in a team environment.
  • Impeccable integrity with a clear sense of ethics, fairness, discretion, and personal responsibility.
  • Ability to read and comprehend policies, guidelines, protocols and ask appropriate questions when dealing with outlier situations.

Preferred Qualifications:

  • Bachelor’s degree 
  • Experience supporting faculty
  • Experience coordinating events
