Southside Virginia Community College is currently seeking qualified applicants for the restricted part-time position of Earn to Learn Coordinator & Fiscal Liaison to support the Earn to Learn (ETL) Nursing Education Acceleration Program. This position creates a supportive pathway to establish and maintain rapport with nursing students, faculty, and clinical partners while providing operational, fiscal, and administrative coordination for the ETL grant. The Coordinator manages monthly invoicing for the Virginia Department of Health (VDH) and clinical partners, processes student allowances, maintains grant-related documentation, administers surveys and evaluation tools, and serves as a key communication link among nursing faculty, clinical administration, the state agency, clinical partners, and student scholars.
This position is for one year and is subject to the availability and continuation of grant funding.
Duties and responsibilities:

  • Assist and collaborate in the development, implementation, and administrative management of the ETL grant program to support student retention
  • Compile monthly expenditure records and prepare electronic invoice submissions to VDH Accounts Payable
  • Collect, verify, and maintain completed Time and Effort (T&E) reports for all grant-funded personnel to ensure compliance and proper documentation for VDH monitoring visits
  • Maintain complete and organized supporting documentation, including receipts, logs, and timesheets, for all grant-related expenditures
  • Review and process required student compliance documentation, including completed I-9 and W-9 forms, receipts, and clinical logs, before releasing grant payments
  • Manage and track student allowances to ensure accurate and timely payments
  • Verify and maintain records of student hours
  • Review, reconcile, and process invoices submitted by clinical partners, including VCU Health System (VCUHS) and Community Memorial Hospital (CMH)
  • Track CMH contractual expenditures against approved budget limits, including expenses for advisory board meetings and RN preceptor clinical rotation stipends
  • Administer the program’s Attrition Risk Survey and coordinate other evaluation tools in collaboration with nursing faculty and clinical partners
  • Serve as a central communication liaison among SVCC nursing coordinators, CMH managers, and student scholars to support program coordination and alignment
  • Perform other duties as assigned by the Dean of Nursing, Allied Health, and Natural Science.
Special Assignments

May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

KSA's/Required Qualifications
  • Minimum of one (1) year of experience in office administration, program coordination, clerical bookkeeping, billing, accounts payable, customer service, or a related area
  • Experience maintaining records, organizing documentation, and managing administrative files
  • Experience processing invoices, tracking expenditures, maintaining financial records, or providing bookkeeping support
  • Experience using spreadsheets or other computer applications to enter, organize, track, and maintain information, such as Microsoft Excel or Google Sheets
  • Experience handling confidential or sensitive information, such as student, employee, patient, financial, or other protected records
  • Experience communicating and coordinating with multiple individuals, departments, organizations, or external partners
  • Experience working in a school system, community agency, healthcare setting, nonprofit organization, or other service-oriented environment
  • Experience monitoring or tracking payments, allowances, hours, expenses, invoices, or other financial or program-related information
  • Experience preparing reports, maintaining supporting documentation, or gathering information for audits, reviews, or compliance purposes
  • Experience providing administrative support for a grant, program, project, contract, or other funded initiative
  • Experience working with students, faculty, healthcare professionals, community partners, or other stakeholders in a professional setting
  • Demonstrated proficiency with Microsoft Office or Google Workspace applications, including Word/Docs, Excel/Sheets, and email
  • Experience coordinating schedules, meetings, communications, or other activities involving multiple individuals or groups
  • Experience working independently to manage multiple administrative responsibilities, deadlines, and priorities.

  • Strong organizational skills and an eye for detail to handle dual-partner invoicing and match receipts to invoices
  • Excellent interpersonal, oral, and written communication skills with a welcoming, customer-service-oriented approach to supporting students and clinical partners
  • Ability to follow detailed written instructions, learn state billing software portals, and maintain neat, accurate records
  • Flexibility in handling multiple tasks, and the ability to exercise sound judgment in handling confidential and sensitive issues under FERPA/HIPAA guidelines
  • Ability to uphold the mission and philosophy of the nursing program and Southside Virginia Community College.
