As the Doctoral Program Assistant, you will report to the Associate Director for the Doctoral Program (ADDP) and will provide meeting/event and administrative support to the UMSI PhD Program office. As a successful candidate, you will work with an experienced and diverse student, faculty, and staff community; learn in a collaborative work environment; and have a strong interest in supporting students throughout the duration of their academic career.

Responsibilities*
  • Provide logistical support for hosting all PhD Program-related meetings and events, including coordinating space/facilities, presenters, attendance, promotional material, services, equipment/supplies, communications, food/refreshments, resource maintenance, and evaluation efforts.
  • Serve as key assistant for the administrative tasks required to support the Doctoral Program team.
  • Assist with the UMSI PhD Program admissions/recruitment process both before and after the application deadline and collaborate closely with Rackham and UMSI Admissions for verification of admissions materials.
  • Coordinate job market support for ABD (All But Dissertation) doctoral students and faculty with students on the job market.
  • Share with the Doctoral Program team office coverage support, providing a minimum of 2 days of regular on-site presence.

Required Qualifications*
  • Associate's degree or an equivalent combination of education, certification, and experience.
  • Demonstrated track record in creating, tracking, and keeping deadlines, while managing a number of competing priorities.
  • Excellent written and oral communication skills with strong attention to detail, accuracy, proofreading, and editing skills.
  • Exceptional customer service mentality, with demonstrated skill in serving a diverse community.
  • Demonstrated 3 years of experience organizing and synthesizing information to meet the needs of a variety of stakeholders.
  • High level of proficiency with Google Suite, MS Word, and Excel, and experience with mail merge.

Work Schedule

Punctual, regular, and consistent attendance is required. May require working during non-business hours and on weekends.


Work Locations

May require travel to multiple locations on & off campus. Some hybrid remote work may be possible, in accordance with UMSI Remote Work Policy and with supervisor approval, however, this role does have an expectation of some onsite work. Remote work agreements are reviewed annually and are subject to change depending on business needs.

This position may work with and/or support systems that maintain or process sensitive institutional data as defined by university policy. Successful candidates must comply with federal, state, and local law, and/or university policies or agreements that require the university to implement specific privacy and security safeguards, including but not limited to ITAR, EAR, HIPAA, FERPA, and FISMA. This position is responsible for protecting data and information from unauthorized release or from loss, alteration, or unauthorized deletion; and following applicable regulations and instructions regarding access to computerized files and release of data internally or externally to the University of Michigan.
