The Office of Medical Education has an opening for a full-time University Staff (unclassified) DOCS Curriculum Coordinator position.

This position will be a hybrid work environment with the expectation of at least 2 days on campus per week at a minimum. Additional on-site days will be required when particular sessions, on-site meetings, or events necessitate an additional on-site presence. Course Planning, Development, and Coordination for Developing our Clinical Skills (DOCS) Curriculum (25%)

  • Call meetings proactively to resolve any conflicts or when the need for clarification is identified
  • Takes conflicts or points of confusion to the DOCS leadership group for resolution as required
  • Conducts regular audits of room booking process to ensure accuracy. Develop a standard operating procedure to support this process
  • Develop and manage process checklist for session implementation
  • Manage enrollment and maintain accurate course rosters. Reconcile enrollment (LOA and Returning students) information with SOM Student Affairs Office
  • Under direction of the DOCS leadership, use personal knowledge of DOCS curriculum and professional discretion to develop, implement and review systems to monitor student course completion of requirements, administer remediation and manage/coordinate grades and documenting student progress
  • Collaborate with the Plains Sr. Coordinator and Plains Manager to work collaboratively and provide timely grading to meet LCME requirements
  • Develop and manage database and tracking software used by DOCS to monitor the students’ participation in DOCS sessions. Work with DOCS faculty, staff and small group facilitators to collect information on at-risk behaviors related to course struggles, concerns, remediation, or missed session 
  • Work with DOCS Director to determine when information needs to be fed forward to other committees to help succeed or get needed help

Schedule Management & Communication 25%

  • Develop and consistently assess course schedules and calendar in collaboration with the DOCS Director, Associate Directors, Center for Advancing Professional Excellence (CAPE) and Undergraduate Medical Education (UME)
  • Serve as the main contact for CAPE interface including the proactive scheduling of CAPE resources
  • Seek to analyze inefficiencies or redundancies to streamline scheduling and reduce administrative costs
  • Manage faculty scheduling, in collaboration with the DOCS Director and Associate Directors, to ensure they are submitting vacation information, course materials and other essential information in a timely manner to ensure students have access in order to prepare for upcoming sessions
  • Manage DOCS Coaching scheduling, coverage and communication of session expectations and materials
  • Manage complex sessions for students, lecturers, and small group facilitators 
  • Develop individual session rosters based on session and/or schedule needs and oversee the process to push information to the students personalized calendar using CUSOM North Star
  • Manage student attendance records for sessions and provide alternative learning options for students who are approved for remote accommodations

Learning Management System Management (20%)

  • Manage the DOCS North Star course including the accurate and timely update of course materials, class announcements, and assignment instructions. Analyze DOCS webpage annually for edits to course contacts.  Collaborate with the Ed Tech team for major changes
  • Provide Office of Assessment, Evaluations and Outcomes (AEO) with information to evaluate faculty and curriculum effectively and accurately 
  • Collaborate with the Curriculum Student Worker to provide guidance and training for support for any administrative they can assist with
  • Implement procedural and policy changes to improve operational efficiency
  • Preside over the DOCS administrative support for the recruitment of teaching faculty, students and patient population for communications, physical examination, clinical skills, and hosted threads teaching sessions 
  • Manage student assistant in the assembly and distribution of informational packets for facilitators and students for all DOCS teaching sessions
  • Other duties as assigned by the Curriculum and Academic Services Manager or Director of Foundations in Doctoring Curriculum

Administrative Support – 20%

  • Ensure physical materials needed to support sessions are provided and distributed as needed
  • Manage multiple standing meetings, staff high-level enterprise meetings and provide concise written documentation of these events, follow-up on outstanding needs, prioritize needs with minimal supervision. Utilize various standard office equipment and software to track all elements of DOCS curriculum
  • Manage multiple Outlook mailboxes and respond with appropriate information or escalate as needed
  • Schedule rooms for faculty development, group sessions, and various meetings related to DOCS
  • Submit appropriate university forms for awards and recognition for DOCS related curriculum

UME Administration (10%)

  • Develop cooperation and cross-functional teamwork while participating in a group; working toward solutions which generally benefit all involved parties
  • Establish and then document best practices and standard operating procedures relevant to core work responsibilities
  • Attends various staff meetings
  • Support Office of Medical Education events and curriculum sessions as needed
  • Perform other duties as assigned by the Plains and Pillars Curriculum Manager or other UME Leadership
  • Adherence to university procurement processes and policies to support the purchasing of necessary supplies for DOCS curriculum activities

Minimum Qualifications:

  • Bachelor’s degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution
  • Two (2) years of professional, full-time experience in an administrative or academic professional role

Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.

Preferred Qualifications:

  • Advanced experience utilizing Microsoft Office (Word, Excel, Outlook, PowerPoint, etc.); to create and maintain spreadsheets, reports, presentations, etc.
  • Experience managing multiple Outlook Mailboxes
  • Strong prioritization skills and ability to handle multiple projects with multiple deadlines
  • Experience working in a higher education institution with faculty and students, or in a clinic, hospital or academic medical fast-paced environment Experience working with learning management systems

Salary and Benefits:

The salary range (or hiring range ) for this position has been established at $48,701 to $61,948.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range ) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.
