East Stroudsburg University is hiring a Divisional Executive Assistant! Located in the beautiful Pocono Mountains of Pennsylvania, ESU’s proximity to New York City and Philadelphia provides convenient access to internships, careers and social activities. Just minutes from campus are the country’s largest water parks, scenic Delaware Water Gap Recreation Area, Appalachian Trail, and other opportunities for recreational fun.


As the Divisional Executive Assistant for Economic Development and Entrepreneurship (EDE), you will need to think creatively and be comfortable interacting with a diverse group of constituents. You will be an active member of the EDE team and will work closely with the Vice President of EDE to support the economic development, workforce development, and entrepreneurial activities of the EDE division through involvement with projects, events, and programs. You will thrive in this role if you like combining your customer service and communication skills while being a champion for diversity and inclusion. To be successful in this role, you must have excellent time management and analytical skills, and be an advocate for higher education and students.
Your normal hours will be Monday to Friday 8 am – 4:30 pm, but you may have to flex your schedule from time to time based on the needs of the business to be a true Executive Assistant.  This position will include 5% travel as business needs demand. When our team shows up for work, they are energized and motivated to succeed - all while being the most crucial piece to keeping the ESU operations humming.
What Will I Do At ESU? (AKA Essential Duties)

  • ·         Plan, coordinate and execute the Economic Development and Entrepreneurship events including electronic invitations (evites), online registration forms, web development and reservations, room set-up instructional technology, and meals as requested (Economic Outlook Summit, Receptions, meetings, etc.).

    ·         Prepare, monitor, and reconcile the division’s budget reports, collect, and prepare weekly EDE reports for assessments and annual reporting requirements, manage EDE’s SourcePoint System account, create divisional requisitions in SAP and track delivery and payments, prepare invoices, and contracts, etc. for VP approval and payment.

    ·         Prepare draft communications, reports and letters on behalf of the Vice President, prepare and process travel, hotel accommodations and conference registrations for the VP and Economic Development leadership team as requested.

    ·         Serve as the point of contact for submission and follow-up for work orders for the Innovation Center. 

    ·         Assist multi-sites within the Economic Development Entrepreneurship division with presentations/meetings including PowerPoint, Zoom and other meeting materials.

    ·         Manage and maintain Vice President’s and Economic Development Entrepreneurship team’s calendars/schedules and navigate appointments.  Serve as an expert user in ESU’s scheduling platform.  Prepare, submit, and track space reservations and work orders for Economic Development Entrepreneurship.

    ·         Prepare and track all credit card purchases and reimbursements (ESU forms for travel approval, travel expense vouchers, Travel credit card, etc.), Enterprise car rental requests, and travel approval requests and reimbursements.

    ·         Serve as the principal source of information for customers of the division including students, faculty, staff and external customers.

    ·         Identify and secure student workers/GA’s and schedule, distribute and assess work product.

    ·         Performs related work as required.

What We're Looking For (AKA Qualifications)

  • ·         Bachelor’s Degree or the equivalent combination of education, experience, and/or training.

    ·         At least 3 years of experience providing support to an executive-level position.

    ·         At least 3 years of event planning experience with large public events.

    ·         Financial:  Experience with fiscal support administration such as monitoring cost centers, processing invoices, reimbursement, budget reconciliation; able to create engaging charts, graphs of financial data.

    ·         Communication: Able to read, write English, comprehend verbal and written instructions; skilled in proofreading and editing complex documents with attention to detail and accuracy; exhibit excellent communications skills including the ability to write comprehensive correspondence reports.

    ·         Technical: Proficiency in Microsoft Teams, Excel, PowerPoint, Outlook, and Word, and working knowledge of web-based applications and databases; hands-on experience creating graphs, tables, dynamic presentations.  Knowledge of SAP Ariba procurement and Business Intelligence platforms preferred.

    ·         Ability to work with confidential information and maintain appropriate discretion.

    ·         Works well under pressure and time constraints; can pivot according to work demands.
