Position Summary
The Director of Project Management & Events is responsible for overseeing and optimizing all project and event management activities within the organization. This role plays a crucial role in ensuring that projects are delivered efficiently, on time, and within budget, while meeting quality standards and stakeholder expectations. In addition, the Director oversees the planning for a range of events, including symposia, meetings, conferences and other special occasions.


Job Description

Primary Duties & Responsibilities


Project Management

  • Develops and implements project management strategies aligned with organizational goals and objectives.
  • Collaborates with team members to define project priorities and resource allocation.
  • Oversees the entire project lifecycle from initiation to closure, ensuring that projects are well-planned, executed efficiently, and meet established objectives.
  • Builds and maintains a project management process that drives productively in a cost effective and results-driven manner.
  • Monitors project progress, identify risks and issues, and take proactive measures to address them.

Event Management

  • Oversees the planning and coordination of events and meetings from conception to execution, including budgeting, venue selection, vendor management, scheduling, and logistics.
  • Collaborates with marketing and creative team members to develop promotional materials, invitations, and online marketing campaigns to attract attendees and generate buzz around events.
  • Ensures the usage of social media platforms, email marketing, paid media and other channels to increase event visibility and drive attendance.

Continuous Improvement

  • Drives continuous improvement initiatives within the project management function, leveraging feedback, data, and lessons learned to enhance processes, tools, and methodologies.
  • Establishes and enforces project management standards, methodologies, and best practices to ensure consistent delivery of high-quality projects.
  • Conducts regular reviews and audits to assess project performance and identify areas for improvement.
  • Utilizes feedback and analytics to continuously improve on event and meeting execution.

Financial Management

  • Manages project budgets, tracks expenses, and ensures projects are delivered within allocated budget constraints.
  • Manages event and meeting budgets, tracking expenses, negotiating costs, and ensuring financial targets are met. Provides regular updates to clients on budget status and make recommendations for cost-effective solutions.
  • Provides accurate financial forecasting and reporting.

Performs other duties as assigned.

Preferred Qualifications

  • Project Management Professional (PMP) certification.
  • Strong problem-solving skills and attention to detail.
  • Excellent communication and collaboration abilities.
  • Ability to work effectively in a fast-paced environment and manage multiple tasks concurrently.
  • Sound judgement, decision making ability and high level of maturity.
  • Demonstrated time management and priority setting skills.
  • Ability to compile and analyze data and metrics to inform recommendations and drive results.
  • Ability to represent the institution with external constituents.


Required Qualifications

  • Bachelor's degree in business administration, project management, or a related field and five (5) years of related experience.
  • Proven ability to build project management process.
  • Proficiency in project management software and tools.
  • Proficiency in event management software and tools for budgeting, scheduling, and registration.

Salary Range
$94,100.00 - $165,600.00 / Annually

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
