Provides primary administrative and project management support to the Chief Investment Officer, Chief Operating Officer, Managing Directors, and Deputy COO of Emory Investment Management (EIM), and serves as an integral member of the investment operations team.

 

JOB DESCRIPTION: 

  • Handles meeting and conference logistics; prepares and monitors budgets and project proposals.
  • Researches and compiles information for reports and presentations.
  • Maintains calendars for CIO, COO, and Managing Directors and ensures appropriate preparation for daily activities.
  • Coordinates domestic and foreign travel arrangements; prepares and reviews associated expense reports. Reviews incoming correspondence to executives and forwards appropriately or, based on a knowledge of recipient's views, may respond on their behalf.
  • Acts as the intermediary with campus departments and EIM regarding meetings and deliverables, as well as various board relationships, conferences, and speaking engagements.
  • May lead meetings addressing specific operational issues and develops recommendations and action plans towards their resolution.
  • Assists in the administration and interpretation of policies and procedures for the organization and department.
  • Oversees vendor relationships and service provider contracts, manages deliveries, procures supplies, and maintains an organized office.
  • Maintains EIM website and oversees space planning.
  • Assists with human resources functions, including new employee onboarding, orientation, and termination processes.
  • Works with supporting various functions of the Investment Operations Team.
  • Maintains a general knowledge of endowment operations functions.
  • Monitors, stores, and updates correspondence with fund managers within the research management system (RMS) and on local shared drive daily and maintains documentation on interactions such as meetings and calls.
  • Administers RMS and creates profiles for each fund manager as new investments arise.
  • Maintains a detailed list of all investments across multiple platforms, including a detailed list of legal documents required for new investments.
  • Manages the collection of operational due diligence requests and monitors regulatory updates for each fund manager.
  • Assist with accounting duties as needed.
  • Oversees validation of, and reporting on, the monthly and quarterly valuations and returns of current investments, asset classes, and benchmarks related to the endowment.
  • Monitors fund manager balance estimates as part of the closing process.
  • Complete various ad hoc projects as assigned by the Chief Operating Officer/Deputy COO, as well as members of the Operations Team.
  • Ad hoc reporting responsibility and oversight for all reporting needs to other enterprise stakeholders and senior management (Development/Sustainability/Internal Audit/IT).
  • Responsible for oversight of internal documents (Bipsync), including meetings and dashboard reporting oversight.
  • Leads effort for documenting ESG/DEI and other internal initiatives within EIM.
  • Serves as liaison for all Development reporting needs to ensure accuracy and presentation of EIM data.
  • In conjunction with COO and Deputy COO, the Director creates, maintains, and tracks the annual operating budget for EIM. This includes reviewing monthly budget vs actual expenditures and documenting large variances.
  • Prepares monthly summary budget reports for CIO (Travel, Legal, etc.).
  • Performs other related duties as required.

MINIMUM QUALIFICATIONS:

  • A bachelor's degree in business administration, communications, or a related field and seven years of office administration or senior-level administrative support experience, OR an equivalent combination of experience, education, and training.
  • A master's degree in business administration or similar field is preferred.
  • Experience within an investment operations environment is a plus.
  • Previous experience with various personal computer software applications.
  • Supervisory experience is preferred.

NOTE: Position tasks are generally required to be performed in-person at an Emory University location.  Remote work from home day options may be granted at department discretion. Emory reserves the right to change remote work status with notice to employee.
