Director of Student Events

Position Summary: The Director of Student Events will oversee the successful administrative, financial and programming management of all student events on both the Wilf and Beren campuses, while maintaining and enhancing collaborative partnerships with the YU Events Office and all other departments and constituents connected to student event planning and execution.
Position Responsibilities: 
  • Plan and coordinate special projects, events, and assignments, as university liaison to undergraduate student body. Supervise a team of five staff, overseeing logistical and financial details of over 600 events annually including new student orientations
  • Work with vendors to ensure a successful event by providing full service logistical planning for events of all size and scope. Responsible for event operations, logistics, production, and execution of events that include theme concepts, script writing, program timing, and stage/talent direction
  • Produce detailed event timelines and approve the final event timelines; determine appropriate action, event standards, and priorities
  • Create event floor plans and production schedules. Select menus, conduct site inspections, negotiate hotel/vendor contracts, book entertainment, coordinate audiovisual, and production set up
  • Serve as liaison between other campus departments when planning events (i.e. events, food service, security, facilities, procurement etc.). Troubleshoot operational issues on behalf of the department as it relates to events
  • Produce budget proposals, determine budgetary limitations, make cost-saving recommendations, and monitor on-going expenses to ensure an event stays within the allocated budget. Reconcile the event budget, pay all accounts, and generate a final budget report
  • Serve on university committees and advisory boards, as assigned and may be asked to participate in a local or national "event" association and/or attend an occasional event conference to stay current on industry trends and network with other special event professionals and broaden education in the field
  • Develop, maintain, and continually strive to strengthen relationships with administrators, faculty, and vendors as it pertains to special events
  • Collaborate with students to plan and execute campus events; advises on best strategies to enhance the campus experience, engage maximum student participation and use resources responsibly. Tracks event process and collaborates with multiple departments (Events, Facilities, Dining Services, Security, Procurement, and General Counsel) to ensure successful planning and follow through
  • Support student leadership training, in collaboration with Student Life director, by assisting in the planning and facilitation of student leader orientation and skill building workshops
  • Generate and distribute Office of Student Life communications to incoming and current students, parents, faculty/staff, and university constituents regarding policy matters, major events and campus programs
  • Responsible for the financial operations of the Office of Student Life, including Maccabuy transactions, monitoring payables and identifying and rectifying discrepancies through direct vendor contacts; review and approve, or forward for approval, requests for services, equipment, supplies, travel, reimbursements, etc. Process payables through purchase order and other administrative systems
  • Execute policies and procedures as determined by YU events office and Office of Student Life
  • Additional tasks as assigned
Experience & Education Background:
  • Bachelor’s degree and 3-5 years of professional experience in higher education or a comparable role
  • The preferred candidate for this position will have work experience in managing multiple and various matters related to student event planning, university administration and operation, and related financial operations
Skills & Competencies:
  • Ability to establish and maintain effective work relationships with students, faculty, staff, and the public. Ability to organize work effectively, conceptualize and prioritize objectives and exercise independent judgment based on an understanding of organizational policies and activities. Ability to communicate effectively orally, by phone, in person, and in writing
  • Must have a positive attitude, be enthusiastic, enjoy contact with students and a variety of university constituents, and can multitask, prioritize, organize and be detail oriented
  • Must be competent in Banner, Microsoft Outlook, Word, Excel, Teams, PowerPoint and various Social media platforms (Facebook, Twitter, Instagram, Snapchat, TicTok etc.)
