Job Summary

Reporting to the Chief Campus Planning & Facilities Officer at Harvard Medical School (HMS), with a dotted reporting line to the Dean of Administration & Chief Operations Officer at HSDM, the Director of Planning & Facilities for the Harvard School of Dental Medicine (HSDM) is responsible for HSDM facilities, operations management and planning of ~110K gsf in primarily 2 buildings on the Longwood Campus as well as clinical space leased in Cambridge. The Director works collaboratively with the HMS Campus Planning & Facilities team and the HSDM leadership to provide strategic direction, and recommendations to HSDM leadership on all strategic space/ capital project planning, real estate, design, engineering, construction, facilities maintenance, energy management, emergency planning and various Campus Services for the Longwood campus. In addition, the Director will coordinate with the various service areas within HMS Campus Planning & Facilities to oversee/ensure a high level of service to HSDM. The Director will continue to develop and foster long-term relationships with multiple major partners across the University including, Harvard School of Dental Medicine, Harvard University Campus Services, Harvard University Planning and Design Office, and the Harvard School of Public Health.


Position Description

Key Responsibilities:

  • Collaborates with staff and manages an operating budget of ~$6M and annual capital budget of $2- $10M.
  • Plans, prioritizes, and gains approval for the school’s multiyear capital planning.
  • Responsible for the creation of short and long-term facilities plans.
  • Partners with HMS PDC leadership, initiates planning, and construction projects and acts as the primary contact, stakeholder, and a HSDM decision authorizer or channel.
  • Provides oversight of the real estate/leasing portfolio in close coordination with the University related offices.
  • Determines property conditions and makes recommendations on property improvement
  • Ensures compliance with physical space and operational regulatory requirements (e.g., OSHA, EPA, ADA) in conjunction with EH&S and HSDM Dean of Administration & Chief Operations Officer.
  • Participates as the representative on community/university-wide planning groups, and neighborhood activities related to the planning, inter-institutional coordination, and improvement of the Longwood Medical Area (LMA).
  • Works closely with senior leadership/department chairs to align strategic priorities and projects for HSDM through robust engagement and planning for the realization of short/long-term goals.
  • Works closely with colleagues to ensure the integration of programmatic, facilities, risk management, and financial planning; develop/deliver physical planning presentations for leadership, administrative, and faculty audiences; and perform a consultative function for program planning and evaluation for academic and administrative departments including supporting space planning needs.

Additional Responsibilities:

  • Collaborates with HMS CP&F directors and managers to ensure a high level of customer service, communication, and transparency with the HSDM.
  • Works with colleagues in HMS responsible for the various service areas, the Director oversees services including contracted trades, vendors, other university departments providing mechanical, electrical, and plumbing (MEP) / Life Safety Fire Alarm, Fire Protection, Locks/Keys, Physical Access Control System, Energy Management System, Security, Commuter Services / Parking, Landscaping, Trash/Recycle, Carpentry, Paint, and other services to HSDM. Manages various service contracts related to the MOU between HMS and HSDM.
  • Works in close collaboration with the HMS Director of Emergency Management, the Director oversees emergency management and response for HSDM in close collaboration with LMA schools and Central Administration. Ensures emergency management protocols are maintained, team members are trained including regular desktop exercises and coordinates planning.
  • Contributes to the mission and vision of HMS and HSDM and models the School’s core values in all facets of the work.
  • Performs other related duties as assigned or requested.

Basic Qualifications

  • Required Basic Qualifications:
  • Bachelor’s degree in a related field required.
  • A minimum of 10 years of related professional experience in planning and facilities.

Additional Qualifications and Skills

  • Strong oral and written communication skills.
  • Excellent judgment, problem-solving, time management, and organizational skills.
  • Ability to effectively balance and perform complex projects simultaneously, often with competing deadlines, and adjust priorities accordingly.
  • Knowledge of Microsoft Office Suite.
  • Ability to respond to facilities-related emergencies off hours, as necessary.
  • Ability to perform the essential functions of the position with or without reasonable accommodation.
  • Ability to successfully pass a comprehensive background check at hire.
  • An advanced degree in management, architecture, engineering or planning is strongly preferred
  • A talented leader, manager and strategic planner who is deeply experienced in university and related administration, thoroughly familiar with facilities planning, well grounded in implementing complex new initiatives, and comfortable in a demanding university environment.
  • Demonstrate solid experience in financial analysis, an aptitude to communicate to a variety of audiences, effective business and organizational planning skills, strong negotiating and problem-solving skills, proficiency in effectively managing multiple projects, highly developed leadership skills, and solid client-service experience.

  • Sitting, standing, and walking for extended periods of time is necessary

Work Format Details

This position is based in Boston and some in-person on-campus work will be required, and flexible/remote work is an option. Any remote work must be performed in a state in which Harvard is registered to do business (CA*, CT, GA, IL, MA, MD, ME, NH, NJ, NY, RI, VA, VT, and WA).
