University Communications and Marketing provides strategic leadership to protect, advance, and elevate the university's brand and reputation in Indiana and around the world. We create guiding resources for and collaborate with communications and marketing partners across all IU campuses, schools, departments, and centers.

Reporting to the Vice President, Chief Communications & Marketing Officer, the Director of Operations provides crucial leadership for University Communications and Marketing (UCM) in 3 key areas: project management, administrative operations, and HR coordination. As UCM continues to grow both in organizational size and influence, dedicated and skilled leadership in these areas is essential to its ability to effectively meet the needs of the university.

Department-Specific Responsibilities

  • Provides coordination of UCM-operations with full-time administrative support staff and all student hourly staff and interns who support administrative efforts.
  • Programs and manages key UCM meeting agendas (i.e., UCM Cabinet, UCM Leadership, and All Staff meetings) to ensure a well-informed and coordinated leadership team.
  • Serves as space manager for UCM's various offices and liaison with Capital Projects and Facilities
  • Manages UCM and brand-related merchandise inventory and requests.
  • Manages ongoing and anticipated ASE efforts, coordinating the multi-step process of bringing marketing, communications, events, and trademarks/licensing/sponsorships teams from academic and administrative units into UCM.
  • Coordinates the preparation, review, and final design of key presentations for UCM leadership.
  • Reviews, researches, and recommends standardized systems and processes for UCM.
  • Leads special initiatives including organizational research projects and strategic planning.
  • Creates, implements, and maintains UCM plan for professional development and upskilling. Where applicable, partner with HR to access IU training resources.
  • Leads employee engagement initiatives including all-staff meetings, celebrations, recognition programs. 
  • Utilizes UCM-based, IU employee engagement survey results to align activities that in consultation with HR ensure that engagement activities strengthen engagement performance. 
  • In partnership with HR, coordinates hiring, onboarding, and exit processes for strategic hires across UCM. 
  • Ensures timely progress on UCM HR-related processes and initiatives. 

General Responsibilities

  • Provides highest level of operational leadership and coordination of assigned staff members to define project management methodologies and standards; provides direction and guidance on high priority project management projects/initiatives.
  • Establishes short-term business plans and long-term operational objectives, including managing project timelines/deliverables and developing resource plans for multi-project/multi-phase web project management initiatives.
  • Manages projects to ensure on-time completion according to specifications and within budgeted costs.
  • Conducts a variety of personnel actions to include, but not limited to hiring, promotion, performance management, and dismissal.
  • Manages high level assignments and allocation of technical resources, including negotiating and coordinating initiatives that involve staff in other departments/areas/teams; may coordinate large-scale web projects with a wide audiences.
  • Makes budgetary recommendations/proposals based on resource needs and ensures cost containment.
  • Works collaboratively with other project management leaders across departments in recommending standards, best practices, and related policies/procedures.
  • Prepares management reports and summaries for senior administration, executive, steering and advisory committees; acts as advisor to executive committees; serves on various university committees, communities of practice, and task forces related to project management.

EDUCATION

Required

  • Bachelor's degree in related field. 

WORK EXPERIENCE

Required

  • 4 years of relevant experience.
  • 1 year of management experience.

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment.
