The Office of University Advancement helps Belmont University achieve its mission by building a stronger community of support for the entire campus amongst all its constituencies.  In collaboration with university partners, Advancement is leading the effort to prepare for the most ambitious fundraising campaign in the university’s history.  Building on a track record of success, Belmont University is undergoing a period of growth and is actively increasing its institutional advancement capacity and capabilities so it can realize its full potential as a Christ-centered university in the thriving city of Nashville, TN.  The Office of Advancement is led by Executive Vice President Dave Rosselli.
Position Overview
Belmont’s Advancement Service’s team is seeking a Director of Gift Administration to join their growing team. The Director of Gift Administration will be part of Advancement Services leadership in the management of gift processing workflow; ensure deadlines are met, provide support for gift processors to ensure gift team is consistently providing timely, accurate and compliant gifts administration and exceeding donor expectations; ensure timely, responsive and professional service to internal and external clients regarding gift and receipt status, procedures and requests for information by phone, email and in person. Create and maintain files and logs pertinent to gifts and receipts. Verify gifts are entered correctly and accurately, and that gift acknowledgements are personalized and accurate before mailing.

Works with functional teams in management and reconciliation of all donations; work with annual fund, major gift, deferred giving, campaign and corporation/foundation giving to ensure all giving vehicles are following CASE standards and there is accurate recording and tracking; Liaison for IT department on giving platforms and database issues; works with tax compliance office to ensure all gifts comply with tax laws and follow CASE standard; act as the main point of contact for Finance and other internal partners for gift related questions pertaining to audit, reconciliation, donor statements and unit procedures and assist with periodic and annual reconciliation between donor database and Finance systems.                             

Lead in developing and maintaining a comprehensive IT strategy and architecture for Development that includes technology infrastructure, web, tools and application systems; provide vision, strategic perspective and high level of collaboration and team building to existing and new fundraising programs and activities; provide strong leadership and effective management of the IT functions including databases and the aggressive programs of gift processing and donor reporting.
Job Responsibilities

  • Establishes and documents departmental policies and procedures and updates the department’s manuals describing donations processing policies, procedures, systems, rules and regulations
  • Proactively identifies opportunities to consolidate work, centralize, automate, and increase accuracy. Continuously monitor and improve data integrity.
  • Effectively lead all aspects of the performance of direct reports, including setting performance expectations, program objectives, coaching for performance, and assessment and evaluation of employee’s knowledge, skills and abilities.
  • Personally undertake new project initiatives where appropriate and inspire trust within the team.

Required Education Bachelor’s degree – master’s degree preferred - from an accredited institution of higher education.
  
Required Experience Minimum of five years in gift administration and/or advancement services with 2-3 years’ experience in managing/growing a team or demonstrated equivalent experience; 7+ years experience preferred.
  
Working Conditions & Physical Requirements The physical requirements described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
