Summary of Job Duties:

Programming (40% of time)
• In conjunction with the Associate Vice Chancellor of Advancement and the other UAPTC Advancement Staff, assists with setting the calendar of events across disciplines (including, but not limited to: theatre, dance, visual art, spoken word, musicians, and comedic acts) to position the UAPTC theatre and art gallery (located at the North Little Rock Main Campus and in the Center for the Humanities and Arts) as a first-class cultural asset in the state of Arkansas by initiating and developing artistic and educational collaborations and creative partnerships that will support the artistic and business objectives of the organization and help the theatre and art gallery achieve its ambitions.
• Negotiate and execute presenting, co-production, and venue agreements; contribute to the research, development, and presentation of performances.
• Facilitates programming including all logistics, i.e., security, housekeeping, catering, and assuring the availability of all necessary components including but not limited to appropriate transportation, lodging, meals, etc. and all aspects of presenters’ hospitality riders.
• Coordinates all technical needs between performers or renters in conjunction with Technical Director to facilitate successful audio/visual outcomes.
• Responsible for coordinating with campus facilities and catering to execute set up, breakdown and catering of any special events at CHARTS.
• Collaborates with UAPTC faculty in event planning and scheduling at CHARTS.
• Schedules and oversees volunteers as needed for events.
• Obtains required documents for performances including but not limited to contracts, insurance, alcohol policy requirements, deposits, etc., ensuring all contractual obligations are met prior to performers taking possession of the facility.
• Prepare and monitor event budgets and expenses.
Box Office Management – 30%
Oversees the day-to-day operations of the box office including daily sales and day-of performance sales, as well as scheduling assistance for daytime and evening operations. Responsible for all aspects of ticketing system including programming and monitoring the ticketing system, tracking daily sales and deposits, ticket account management and fulfillment, and supervising box office volunteers including work-study students. This role is highly visible and interacts with vendors, sponsors, donors, and major arts organizations in a highly professional manner. Leads by example at all times and provides the highest level of quality customer service to all guests, vendors, and clients.
• Fosters and maintains excellent working relationships with all internal and external theatre and art gallery clients.
• Sets up box office for all internal and external events including preparing seating charts, assisting with ticket pricing, maintaining financial records, and settling all box office statements.
• Develops and maintains training materials on box office policies and procedures.
• Trains and supervises box office employees, making sure they are fully trained in handling customer service issues policy regarding ticket sales.
• Works closely with the Associate Vice Chancellor for Advancement to execute proper cash control procedures.
• Demonstrates excellent customer service and responds promptly to customer inquiries.
• Oversees concession inventory and sales.
• Assists as one of the on-site liaisons for theatre and art gallery rentals and when needed, classroom rentals.
Marketing/Public Relations/Fundraising – 30%
• Oversees marketing e-mail system for theatre events including e-newsletters. Must be able to write stories, use photography and videos to create effective promotional e-blasts to database.
• Works with Director of PR and Marketing and the Director’s Department to create marketing plans to promote events.
• Works with Webmaster to post information on UAPTC’s webpage
• Provide updates to ticketing website through ticking software tools.
• Coordinates with Vice Chancellor of Advancement to create donor engagement programs to support the Arts.
• Contributes to social media efforts for CHARTS social media outlets including Facebook, Instagram and Twitter.
• Continually surveys and collects data from attendees post events to evaluate success of events.
• Co-chairs student committee and meet regularly to gain input to direct student programming interest and incorporate their input into educational programming and document procedures and outcomes for HLC reporting purposes.

Qualifications:

Bachelor's Degree in Performing Arts/Theater Management or related field; minimum 3 - 5 years experience in fine arts programming; experience executing artist contract and riders; experience with ticketing and event software; experience in PR & Marketing of events preferred.
