The College of Professional and Continuing Studies Director of Admission role will supervise and support the admissions team in tasks associated with processing applications, document collection, and admission decision steps for the College of Professional and Continuing Studies ADC programs. The Director of Admission will focus on refining admission processes, refine a contact strategy for document collection, evaluate metrics related to application file completion, and focus on developing additional strategies to positively support the prospective learner experience. Additionally, the role is developed to support a team and will require managerial tasks associated with timecard and time off management, training and development, implementing strategies for success, and maintaining integrity in admission decisions. The Director of Admission will conduct team meetings, individual employee one one-on-one appointments, and engage with recruitment, advising, and student success functions within OU Online. Additionally, the College of Professional and Continuing Studies Director of Admission should be proficient with Salesforce systems, CRM processes and will report and analyze data related to admission processes and metrics.

 

Primary Duties include, but are not limited to:

  • Develop strategic processes to address challenges concerning application pipeline or file completion timelines
  • Communicate effectively with individuals across multiple teams or functions within College of Professional and Continuing Studies, OU Online and across campus
  • Maintain records within Salesforce for data management purposes
  • Participates in recruitment, orientation, graduation, and other events.  Serves on college-level admissions committees, and other committees as requested
  • Manage databases and understand reporting or data analytics to effectively inform process strategy and implementation
  • Effectively manage, motivate, and engage with a team in alignment with OU policy and procedures
  • Ensures transparent communication that complies College of Professional and Continuing Studies and University procedures and policies to not mislead or misdirect a prospective learner admitted to online programs.
 

Job Requirements

Required Education: Bachelor's degree, AND: 

  • 60 months experience that includes leadership and/or management in student records, registration, admissions, planning and scheduling processes, systems, and technologies in a higher education environment.

Equivalency/Substitution:  Will accept 48 months related experience in lieu of the bachelor's degree for a total of 108 months related experience.

 


Skills:

  • Strong written; verbal communication skills

  • Experience managing complex processes and multitasking

  • Ability to travel seasonally and work some weekends during peak periods
  • Proficient navigating and maintaining databases.
  • Advanced Excel skills with the ability to build and manipulate spreadsheets.
  • Ability to speak, read, and write clear, concise English.
  • Basic math and computer skills.
  • Proficient in Microsoft Office.
  • Detail oriented for accuracy of data and information.
  • Highly organized and able to handle multiple projects and deadlines.
  • Able to communicate well and build rapport quickly with students, faculty, and staff.
  • Able to produce reports and complete work within deadlines.
  • Strong initiative to solve problems.
  • Able to work well with interdepartmental teams and initiatives.
  • General office skills such as multi-line phone, copying, filing, and mail.
  • Customer service.
  • Must be able to read and interpret policy as well as state and federal regulations.
  • Able to effectively evaluate projects, programs and produce comprehensive reports.
  • Able to supervise staff and communicate directions and expectations effectively.
  • Must have strong ability to lead project teams.
  • Composition and proofreading skills.

Certifications:


  • Valid Oklahoma Driver License or ability to obtain within 30 days of hire date.

Advertised Physical Requirements:

  • Must be able to sit for extended periods of time doing work on a computer and via the telephone.
  • Ability to engage in repetitive motions.
  • Standard Office Environment. Frequent exposure to pressure caused by deadlines and busy periods. May be required to travel. Ability to work effectively with a wide range of constituencies. Requires contact with other departments and university officials.
