Position Summary
The Director of Admissions and Financial Assistance reports directly to the Assistant Dean for Student Affairs and oversees Admissions and Financial Assistance for the UIWRSO Optometry programs. The Director provides advisement and guidance to prospective UIWRSO students, assists with all phases of the admissions process, financial assistance, and scholarship coordination. The Director collaborates with the Director of Enrollment Management and Alumni Affairs and other members of the Student Affairs Team.

Description of Job Duties
  • Collaborate with the UIWRSO Dean and the Assistant Dean for Student Affairs to determine Admissions policies and goals.
  • Plan, coordinate, and manage all aspects of the UIWRSO application process.
  • Manage the optometry centralized application database (OptomCAS), including updating, monitoring, and providing overall support for the platform.
  • Conduct and oversee application review and interview processes.
  • Oversee and complete prerequisite evaluations for optometry applicants.
  • Screen Optometry applications.
  • Facilitate Admissions committee preparation.
  • Recruit, train, and coordinate faculty and staff interviews, Participating in Interview and Admissions Days.
  • Coordinate communication plan for applicants and admitted students. Ensure timely processing and completion of applications.
  • Serve as advisor for UIWRSO admissions policies.
  • Communicate and coordinate admissions policies, processes, and activities with the Director of Enrollment Management and Alumni Affairs and other Student Affairs team members.
  • Coordinate the readmission process for returning students.
  • Give presentations to prospective UIWRSO OD, Optometry Residents, MS, Ph.D. and Direct Admit students.
  • Provide weekly and annual admissions data to support internal and national reports.
  • Participate in Professional Development activities, including workshops and conferences.
Job Duty Name Financial Assistance Services
Description of Job Duties
  • Counsel all prospective/current students in matters concerning financial assistance, including the application process, eligibility requirements, loan options, student employment, scholarships, and aid for study abroad.
  • Communicate and coordinate regularly with the UIW Financial Assistance Director/Staff to ensure accurate and timely coordination all financial aid policies and processes.
  • Maintain knowledge of current federal, state, and institutional financial assistance regulations and ensure compliance with laws, regulations, accreditation standards, and professional guidelines regarding student enrollment and financial assistance.
  • Assist students with billing questions, payment plans, registration, and transcript hold. Assist with resolving conflicts related to students’ financial status.
  • Assist students with cost of education information and financial assistance options.
  • Communicate with prospective and current students and respond to their inquiries.
  • Provide exit loan counseling for students leaving the program.
  • Assists the Assistant Dean for Student Affairs in the determination and awarding of internal admissions scholarships.
  • Assists the UIWRSO Faculty Scholarship Committee in coordinating the eligibility and awarding of internal and external scholarships.
  • Coordinate with the Associate Dean for Academic Affairs in providing financial literacy events and opportunities.
  • Participate in Professional Development activities, including workshops and conferences.

Required Education
Master’s degree in Higher Education, Marketing, Communications, Business Administration, or related field.
Required Work Experience
  • Three years of experience in admissions and/or recruiting, advising, student services, or related area at the college/university or professional school level.
  • Experience with developing online data collection tools and menus related to admissions.
Preferred Qualifications
  • Master’s Degree.
  • Admissions experience at a health professions school, or other graduate-level school, and/or student affairs in higher education experience.
  • Experience with Recruit, Banner and Centralized Application Services (CAS).
  • Experience working with admissions databases.
  • Knowledge of Ellucian Banner database. CRM experience.
Required Certifications, Licenses or Registrations
  • Valid “Real ID” driver license designation for air travel.
  • Must be at least 21 years of age and have driving record insurable by UIW insurance carrier.
Work Hours
Monday through Friday 8am to 5pm with occasional extended hours and weekends to meet departmental and students’ needs.
