This position will work a hybrid schedule which includes a combination of working both onsite at La Jolla and remote.

UC San Diego Health Sciences encompasses UC San Diego Health, the region's only academic health system, UC San Diego School of Medicine, one of the nation's top research-intensive medical schools, Skaggs School of Pharmacy and Pharmaceutical Sciences, Southern California's first public school of pharmacy, and Herbert Wertheim School of Public Health and Human Longevity Science. The division of Medical Education within the UC San Diego School of Medicine consists of the following units: Undergraduate Medical Education, Admissions & Student Affairs, Diversity and Community Partnerships, Graduate Medical Education, Continuing Medical Education & Faculty Development, Simulation Education, Physician Assistant Education, Anatomical Services, Business Affairs and Educational Technology. The division supports the education, training and co-curricular activities of approximately 560 medical students, 90 physician assistant students, 1000 residents and fellows as well as the faculty, physician and healthcare providers at UCSD’s School of Medicine, its' Medical Centers, and affiliates.

Under general direction of the Executive Director of Enrollment Management and Financial Aid, School of Medicine, supervise the Health Sciences financial aid team which is comprised of financial aid officers, an assistant director, and the business systems analyst. The position formulates and implements procedures for functional area to ensure accurate, efficient, and timely delivery of student aid that is in compliance with regulations and supports departmental objectives. Responsible for completing annual federal, state, and institutional reporting as well as reporting for the medical school accreditation body, including information on enrollment, student eligibility, funds awarded, indebtedness, and cost of education. Responsible for managing, disbursing, and reconciling institutional student aid monies.

Supervises Financial Aid Officers and formulates procedures for functional area to ensure accurate, efficient, and timely delivery of student aid that is in compliance with regulations and supports departmental objectives. Performs other duties as assigned.

  • Nine years of related experience, education/training, OR a Bachelor’s degree in related area plus five years of related experience/training.

  • Advanced knowledge of policies, regulations, and practices for awarding financial aid.

  • Advanced knowledge of University policies, processes, and procedures, including those related to supervising employees.

  • Advanced knowledge of advising and counseling techniques.

  • Ability to interpret complex policies and develop procedures to ensure compliance.

  • Advanced problem identification, critical thinking, and problem solving skills; judgment and decision-making ability.

  • Organizational skills and ability to prioritize work for self and others to meet deadlines. Possesses strong project management skills.

  • Possesses strong written and verbal communication skills along with active listening, persuasion, and negotiation skills.

  • Possesses and uses strong customer service orientation skills.

  • Ability to assess processes and implement improvements.

  • Interpersonal skills.

  • Social perceptiveness.

  • Proficiency with standard office software, internet, and email applications.

  • Experience using complex databases. Working knowledge of common University-specific computer application programs.

  • Ability to define specifications for database programming.

  • Thorough knowledge of the philosophy, concept and application of financial aid methodologies to ensure equitable treatment of applicants.

  • Demonstrated experience and skill to routinely monitor production and quality of work being produced by staff and set performance standards, observing behavior, providing objective feedback, counseling, and implementing corrective action as needed to mediate disputes or otherwise help to resolve conflicts and to provide effective leadership/coaching/mentoring.

  • Knowledge of working in Oracle Financial Solutions as well as ProSAM financial aid system is preferred.
  • Employment is subject to a criminal background check.

  • Available to work evenings/weekends during peak periods; domestic travel; must have access to reliable transportation.


Pay Transparency Act

Annual Full Pay Range: $74,300 - $134,500 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $35.58 - $64.42

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
