DIRECTOR: GIFTS AND BIOGRAPHICAL RECORDS

The University of Alabama Birmingham

 

The University of Alabama at Birmingham (UAB) seeks a Director of Gift and Biographical Records to lead and develop a team of gift and biographical records specialists who are responsible for all data entry for philanthropic contributions and constituent data. This position is responsible for establishing short-term and long-term team goals and metrics to track success. The director will be responsible for implementing policies, procedures, and prioritization in order to ensure accurate and timely daily execution of processes and tasks while ensuring they are in accordance with IRS regulations and CASE standards.

This position will report to the Assistant Vice President of Advancement Services.

This position is hybrid-eligible after the probationary period.

Key Duties and Primary Responsibilities:

  • Responsible for assisting, directing, and coordinating the maintenance of gift and biographic records involving the timely and accurate receipting, processing and documentation of private gifts and grants to UAB and its affiliates following CASE and IRS guidelines, basic accounting principles, and Advancement policies. Oversee data quality and manage direct customer service related to charitable contributions and other constituent support. Manage and advise on the reporting of UAB Advancement fundraising activity.
  • Communicate directly with donors, financial advisors/representatives, and university staff regarding gift transactions and the delivery of assets to the university. Authorize transfer of gift funds across university accounts. Serve as resource for university advancement and financial officers regarding gift counting and reporting policies and procedures and data administration. Processes refunds of donor funds upon request and maintains appropriate records for audit.
  • Conduct staff development and training sessions as needed, including preparing and presenting information on gift policies and processes. Works collaboratively with the Donor Relations and Engagement area to ensure gifts are accurate and acknowledged in a timely manner.
  • Maintain awareness of best practices within the advancement profession, and of the goals and activities of the University and its peer institutions. Pursue ongoing professional development through participation in meetings, conferences, and related training opportunities offered by vendors, the University, and professional organizations.
  • Establishes team’s goals, sets performance standards, and promotes staff development. Manage personnel responsibilities by setting clear performance expectations and holding staff accountable for outcomes through frequent feedback and coaching. Ensuring open communication among staff, engaging in team building efforts and holding regular staff meetings that embrace and support the group’s diversity.
  • Performs other duties as assigned

 

Annual Salary:  $57,940 - $74,000

 

Qualifications

 
  • Bachelor’s degree in Business, Accounting or other related field
  • 5 years of experience in banking, finance, accounting, cashiering, bookkeeping, or related

  • Strong organizational, analytical, financial, and problem-solving abilities
  • Leadership, customer service, and interpersonal skills
  • Ability to manage multiple projects and staff simultaneously requiring organizational, project management, and prioritization competency
  • Ability to develop strong relationships
  • Prioritizes training and professional development for staff
  • Attention to detail
  • Strong working knowledge of technology, including fundraising CRMs, tools, and related software such as Microsoft Office products
