The Director, Business Operations is responsible for planning, developing, implementing, and administering financial controls, financial analyses, operating systems and internal controls in Surgical Services at SCCC in addition to IR system wide. Assists and directs the optimal use of surgical scheduling system, coordinates integration of OR and IR systems including but not limited to finance, supply chain, patient access, infection prevention, IT, and HIMS.Develops, administers and oversees the departmental inventory control system to ensure adequate par levels, including inventory on consignment. Responsible for the new product evaluation process, equipment, capital and operational budgets. Oversees and manages the departments’ billing process, and ensures data integrity through periodic audits.

CORE JOB FUNCTIONS    

                                                                                                 

  • Plans, coordinates, implements and directs the business operations of the surgical services at SCCC and IR system wide.

  • This includes the scheduling office for SCCC OR, the surgical services materials management, billing, and business analytics office.

  • Reviews and takes ownership over the fiscal management of the departments budget including annual budget preparation, budget reporting, reimbursements, disbursements, and chargebacks.

  • Manages, reviews and reconciles departmental accounts to adhere to budget allocations.

  • Monitors the financial results to ensure fiscally responsible use of funds.

  • Oversees the daily procurement operation, monitors the workflow, and manages support staff.

  • Manages the procurement practices and procedures within the department.

  • Assumes responsibility over budget approval of departmental purchase requests.

  • Assumes responsibility for supervision and performance management of all assigned staff including making decisions as they pertain to hiring, training, evaluation, promotion and termination.

  • Manages daily operation and performance of the staff and directs them in achieving the departmental goals and objectives.

Department Specific Functions

Supervises the staff responsible for the maintenance and control of inventory and supplies. Establishes control systems with maximum/minimum order points and par levels for surgical and perioperative services at SCCC and IR. Prepares, presents and monitors surgical services departments’ operational budgets. Maintains ongoing inventory records and prepares annual inventory reports. Controls equipment and supplies’ usage within established operational budgets. Coordinates with various vendors to negotiate prices, contracts, and timely delivery of supplies and equipment. Assesses and identifies the need for new equipment and supplies and makes appropriate recommendations. Coordinates the product trials with the vendors, facilitates the product evaluations, and proposed purchases. Collaborates with the Department Directors, Managers, Clinical Coordinators, and Material Management buyers re inventory of supplies and equipment. Evaluates the effectiveness of the physicians’ preference cards for materials and supplies. Coordinates annual inventory and submits completed report with financial breakdown to the Finance Department. Responsible for the surgical services revenue cycle: completes billing/charging on a daily basis, creates supply item add requests, and reconciles charges/billing/scheduling. Collects, monitors, analyses and presents statistical reports and departments’ key performance indicators regularly. Responsible for leading cost containment efforts in surgical and perioperative services in collaboration with Value Analysis and Supply Chain departments. Manages resources consistent with the mission, philosophy, goals, functions and standards of the Hospital and UHealth system. Accountable for personal development via continuing education related to role and position. Identifies priorities for organizational educational needs. Continuous review, revision and deletion of policies and procedures, protocols and standards of practice to ensure that each is evidence based and in compliance with national professional organizations and regulatory agencies. Provides service excellence to the customers of the UHealth Tower and UHealth system by delivering timely, high quality services in a courteous and respectful manner.

CORE QUALIFICATIONS                                                                                                    

Education:

Bachelor’s degree preferred.

Experience:

Minimum 5 years of relevant managerial experience

Knowledge, Skills and Attitudes:

  • Ability to communicate effectively in both oral and written form.

  • Ability to maintain effective interpersonal relationships.

  • Ability to manage a budget and work within the constraints of that budget.

  • Ability to direct, manage, implement, and evaluate department operations.

  • Ability to effectively plan, delegate and/or supervise the work of others.

  • Proficiency in computer software (i.e. Microsoft Office).
