Purpose

Partners with three dynamic teams in the Cockrell School of Engineering (CSE) Development Office to further the School’s strategic priorities . This position will support and partner with the Director of Events, Associate Director of Stewardship, and Director of Industry Engagement to assist with college wide events, identify and steward gifts from individuals and corporations, and host campus visits from alumni and corporate representatives.  Serves as liaison with CSE development and corporate relations staff, as well as members of the University Development Corporate team.


Responsibilities

  • Provides effective support, communication and administration of events, stewardship activities, projects, as well as corporate focused events.

  • Supports the Director of Events with logistical and administrative support before, during and after events.

  • Coordinates weekly shipping and receiving for events, stewardship, and the CSE Development team.

  • Assists with accounting and procurement within CSE Development team.

  • Organizes donor records for optimum utilization, including nature of information retained, structure and location of files and continuous monitoring of this activity for Gift Administration.

  • Modifies procedures when necessary to meet new program requirements.

  • Assists in implementing and maintaining automated information and updating systems.

  • Drafts gift instruments, processes new endowments, and interprets administrative guidelines for endowments and database management.

  • Prepares general and customized reports to identified donors including but not limited to Digital Impact Reports.

  • Monitors use of endowments to be in accordance with donor restrictions and university regulations.

  • Develops and delivers training to appropriate university staff on endowment regulations and use of database information.

  • Responsible for developing procedures, coordinating projects, and reporting on activities and progress.

  • Records project activities routinely and updates director of project status.

  • Performs related duties as assigned.


Required Qualifications

  • Bachelor's Degree and one year of experience in stewardship, event support or related fields. 

  • Experience in developing creative stewardship documents

  • Experience coordinating and supporting events. 

  • Experience providing administrative or operational support to a multi-faceted team.

  • Excellent verbal, written, and interpersonal communication skills.

  • Demonstrated ability to think strategically and creatively, work well under pressure, and manage details of several concurrent projects. 

  • Proven project management skills. 

  • Demonstrated ability to work effectively in a team-oriented environment. 

  • Must be able to travel to visit prospects and donors. 

  • Capable of working independently. 

  • Work with integrity and professionalism.

Relevant education and experience may be substituted as appropriate.


Preferred Qualifications

  • Three or more years of relevant experience.

  • Experience working in a large-scale research university. 

  • Experience with prospect management systems, e.g. VIP, Raiser's Edge, etc.


Salary Range

$55,000 + depending on qualifications


Working Conditions

  • May work around standard office conditions.

  • Repetitive use of a keyboard at a workstation.

  • Occasional evening and weekend work may be required for events or during peak periods.


Work Shift

  • Standard work schedule is Monday – Friday, 8:00 a.m. – 5:00 p.m. 

  • Flexible schedule and/or hybrid telework may be allowed. 

  • Periodic work outside of normal business hours, to include evenings and weekends, may be required.
