Brief Position Overview
The Development & Membership Associate plays a key role in assisting with the business functions of a department that has significant revenue-raising responsibilities for Museum of the Rockies. The Associate will support communications, financial transactions, and social events that relate to current and future museum donors and members. Through phone, email, mail, and in-person events, the Associate will interact with hundreds of community members. This full-time position is generally 8 AM to 5 pm; however, occasional departmental events require flexibility in order to work at events both prior to or after regular weekday hours or on the weekend.

Position Details


General Statement
The Development and Membership Associate works closely with the Director of Development and Membership and other members of the department to manage and grow a significant revenue stream at the Museum of the Rockies. In support of the Development team, the Associate carries out administrative and clerical duties and participates in benefit events.
Duties and Responsibilities
  • Support the Director of Development & Membership in encouraging donations to the museum in ways that include: logging donations into the customer relations database, preparing donor solicitation proposals and acknowledgement letters, maintaining accurate files, and writing content for public recognition of donors.
  • Support the Membership & Annual Giving Manager by logging memberships into the customer relations management database and producing high quality customer service communications in a timely manner via mail, phone, email, or in person.
  • Support the Membership & Annual Giving Manager and Fundraising Events Manager with logistical needs associated with strategic events that strengthen the museum community, including helping to: track RSVPs or ticket sales, process invoices for sponsors and vendors, research and acquire event supplies, and provide support for event logistics.
Required Qualifications – Experience, Education, Knowledge & Skills
  • Associate degree
  • Demonstrated competence with the Microsoft Office Suite (Word, Excel, Outlook, Powerpoint).
  • Interest in building competence in additional computer software programs, including a customer relations database.
  • Demonstrated experience with attention to detail in keeping accurate records.
  • Ability to collaborate in a team environment, prioritize multiple tasks, and meet deadlines.
  • Preferred Qualifications – Experience, Education, Knowledge & Skills
  • Administrative work experience in an office setting.
  • Customer relations experience.

    • Have the ability and willingness for excellent communication with customers.
    • Due to the sensitive nature of data and financial transactions, must be able to maintain confidentiality in handling information related to departmental business.
    • Enjoy staying on task with computers and databases.
    • Ability to remain positive during telephone and other communication with members, donors, and the general public.
    Position Special Requirements/Additional Information
    • Valid State of Montana Driver’s license and an acceptable driving record.
    • This position requires occasional early morning, late evening, or weekend support of Development and Membership events.
