Job Description

The Ira A. Fulton Schools of Engineering Development team is recruiting for a Development Coordinator, to work in the Dean’s office, Tempe campus. This position performs varied administrative work unique to the work unit, requiring initiative and independent judgment, work independently under general direction. Acts as liaison to the ASU Foundation and all other constituencies to provide support for Development (fundraising) initiatives, programs and events. Monitors budget and account expenditures, maintains official records, and implements administrative policies. Handles problems and non-routine situations by determining the approach or action to take and interprets guidelines, procedures, policies and practices. Incumbents may have contact with high-level administrative offices requiring use of business vocabulary, tact, discretion and judgment.

Essential Duties

  • Provides administrative support to executive director in areas such as calendaring and maintaining record-keeping systems including involvement in university events, to ensure effective interaction with directors, deans, faculty members, senior staff, outside stakeholders, executive advisory board, leadership teams and their constituents both internal and external to Arizona State University. This includes preparing and maintaining background materials.
  • Manages office operations support such as preparing and composing confidential correspondence on own initiative, receiving and screening telephone calls and visitors, and screening and prioritizing mail. Oversees office moves, building and equipment maintenance requests, maintains computer equipment and key inventories.
  • Coordinates and arranges conferences, meetings and/or signature fundraising events, including budget, venue, preparing mailing lists for invitations, marketing, tracking RSVPs, catering, equipment and post event assessment.
  • Manages and controls expenditures, determining funding source(s) to charge; analyzes financial feasibility of plans and funding sources of a variety of account expenditures; maintains and reconciles budgets for various accounts; advises and/or determines which expenditures are within the budget guidelines; informs management of irregularities and proceeds with corrective action, includes ordering supplies, furniture, and equipment in accordance with department guidelines; authorizes/approves expenditures or actions for administrative and operational needs.
  • Reconciles ASU purchasing card transactions and ASU Foundation Wells Fargo transactions on respective Workday platforms.
  • Receives monetary donations from donors, prepares and tracks deposit documentation and forwards to the ASU Foundation for recording and deposit.
  • Assists with stewardship duties including impact reporting process, thank you letters and mass mailing projects.
  • Prepares donors and potential donors information packets.
  • Maintains and updates databases and spreadsheets; conducts database queries using Salesforce, or other software programs; prepares special and recurring reports containing specialized or sensitive information.
  • Maintains files and updates donor recognition reports, Salesforce or CRM directory.
  • May hire, train, supervise and coordinate the activities of student workers.
  • Performs other duties as assigned.

Minimum Qualifications

Associate's degree in Public Administration, Business Administration, Public Relations or closely related field and 2 years previous experience with event planning and coordinating; OR, Four years of public relations and event planning/coordinating experience; OR, Any equivalent combination of experience, and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Knowledge of principles and techniques of development/fundraising, preferably in higher education.
  • Experience providing executive administrative support, including day to day operations and calendaring.
  • Experience with Workday, Salesforce, Concur, Microsoft Office Suite.
  • Experience with reconciliation of purchasing cards, managing department accounts and budgeting.
  • Experience working on projects requiring attention to detail and ability to meet deadlines.
  • Experience with planning and directing special events.
  • Skill in establishing and maintaining positive public relations and effective working relationships.
  • Experience with problem solving and decision making
  • Experience writing and editing documents, correspondence and reports.
  • Experience arranging conference attendance and domestic and international travel.
  • Experience working with and preparing confidential and sensitive information.

Working Environment

Activities are primarily performed in a regular, climate-controlled office setting subject to extended period of sitting. The position requires visual acuity and manual dexterity associated with daily use of desktop computer and requires bending, stooping, reaching and lifting up to 20 pounds. To perform essential duties, the candidate must have the ability to clearly communicate. The position requires the ability to work both independently and within a complex structured team.
