Purpose

To provide complex administrative, project management, and strategy support for the development department in the solicitation of prospective donors, donor stewardship, and to support the daily fundraising operations and priorities of the Blanton. This position reports to and works closely with, the Blanton’s Director of Development.

Responsibilities

Communications

  • Compose and prepare gift acknowledgement letters, gift invoices, correspondence, and other supporting materials for donors, on behalf of the museum director and the director of development.

  • Assist in the preparation of briefing memos for donor-related meetings attended by the museum director, curators and director of development.

  • Work collaboratively, proactively, and in a professional, service-oriented manner with UT's Texas Development office, conducting and coordinating research, serving as departmental liaison for this work.

  • Provide data for stewardship-related donor mailings and mail merges.

Data Management

  • Assist in tracking departmental budget and moves management of individual and corporate donors.

  • Process all non-membership financial and non-monetary gifts that are unrelated to event fundraising revenue.

  • Produce reports on departmental fundraising progress, as well as track pledges and maintain the pledge reminder system. Track other statistics and analytics, as requested.

  • Serve as department expert in the maintenance of development data in fundraising databases and ensure information is kept current.

  • Enter contact reports into university donor database.

Fundraising

  • Actively participate in meeting or exceeding annual departmental revenue goals.  Goals will be assigned annually based on business needs of the organization.

  • Provide additional support for larger events.

Administrative

  • Assist with prospect and donor research, individualized donor stewardship projects, and various forms of donor outreach as needed.

  • Answer telephones, general inquiry email inboxes, and respond to general questions.

  • Maintain copies of documents for physical and electronic files.

  • Work with director of development to maintain development pages on the main Blanton website.

  • Ensure compliance with museum, university and development policies and best practices.

Required Qualifications

  • Bachelor's degree.

  • One year of professional fundraising experience or administrative assistant experience performing complex administrative functions.

  • Experience working in a museum, cultural , university, or other non-profit setting. 

  • Highly effective communication skills (written, verbal, interpersonal)

  • Exceptional research and organizational skills.

  • High degree of proficiency in databases and computer applications, including: Excel, Adobe Acrobat, PowerPoint, Outlook, and Word.

  • Proactive and motivated self-starter with strong integrity, drive for success, and a high sense of urgency.

  • Goal and detail-oriented with strong problem-solving skills and high standards for excellence and accountability.

  • Ability to manage multiple internal and external relationships with the highest level of customer service to maintain strong relationships.

  • Strong project management skills.

  • Adaptability in fast-paced, results-oriented environment.

  • Strong judgment and initiative.

  • Must be capable of working with sensitive information and using discretion.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

  • More than two years of professional fundraising experience or administrative assistant experience performing complex administrative functions.

  • Experience working in a museum or arts organization.

  • Experience working in Altru database.

  • Experience working in the University of Texas at Austin’s VIP database.

Salary Range

$45,000 plus depending upon experience.

Working Conditions

  • Typical office environment or hybrid work model.

  • Repetitive use of a keyboard at a workstation.

  • May remain stationary at workstation for several hours at a time.

  • Occasional work outside of standard business hours, including evenings and weekends, is required.

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
