About the Department
 

Alumni Relations & Development (ARD) engages alumni (~190k), current students, parents and friends of the University through intellectual, professional and social activities on campus, around the world and online. ARD raises $550 Million annually to support faculty and researchers, practitioners and patients, and students and programs across the University. Our work supports priorities in every division, school, department, and institute. The Development Associate Team (DA Team) was created to maintain workflow and support business activities for a specific timeframe with early career staff or experience professionals making a career pivot to the Advancement profession. DA Team members are cross trained and gain experience in multiple units and teams, which prepares them for roles across ARD.


Job Summary
 

The job performs professional support activities related to assigned development projects with instruction from others. Executes fundraising projects, cultivation programs for prospective donors and for advisory councils.

Responsibilities

  • Completes development activities during staff vacancies, ad hoc projects or an increase in work volume in ARD.
  • Learns to be a database 'power user' and in-house expert with a special emphasis on extracting and analyzing data as well as keeping constituent records.
  • Learns how to review and research potential prospects, then present findings to gift officers.
  • Conducts initial outreach to alumni to assist in gift officers’ qualification efforts.
  • Learns best practices for using a variety of systems and train team members on how to accomplish tasks.
  • Synthesizes research information to create briefings, reports, correspondence and other materials.
  • Prepares reports, spreadsheets, graphs and charts for metrics, presentations and meetings.
  • Proofreads and copy-edits documents such as reports, letters, emails, analyses, etc.
  • Works on marketing materials in print, online and email to promote and engage alumni and potential job applicants.
  • Updates and maintains assigned websites.
  • Collaborates with colleagues to execute programs with a focus on increasing participation, engagement and revenue from alumni.
  • Provides an elevated level of customer service in all interactions.
  • Staffs events in person and virtually.
  • Records event data and visits details in the University’s database.
  • Responds to specific requests, direct calls and other relevant information to appropriate individuals while using discretion and judgment with confidential information.
  • Schedules meetings and produce meeting materials as needed.
  • Maintains thorough knowledge of UChicago’s priorities and programs.
  • Learns department's strategy and processes to assist colleagues and encourage the effective use of resources.
  • Seeks opportunities for professional development that will enhance job performance including attending webinars, seminars, building networks within the University and with colleagues at peer institutions.
  • Drafts informational and marketing materials for review for assigned programs. Assists in developing support materials for specific fundraising activities.
  • Cultivates and maintains relationships with donors and volunteers. Establishes and maintains donor records and accounts.
  • Performs other related work as needed.


Minimum Qualifications
 

Education:

Minimum requirements include a college or university degree in related field.

Technical Skills or Knowledge:

  • Demonstrated skill and knowledge of, or ability to learn quickly, the internal workings of the University as well as the technology tools available to the Office of Alumni Relations and Development, including the University's donor relationship management system and the Microsoft Office Suite.
