JOB DESCRIPTION AND POSITION REQUIREMENTS:

As Penn State continues a record-setting campaign, A Greater Penn State for 21st Century Excellence, a Development Assistant is needed to support the Division of Development and Alumni Relations with Four Diamonds. Four Diamonds is a gift fund within Penn State University's Office of University Development and Alumni Relations and is dedicated to conquering childhood cancer.

Reporting to the Executive Director of Four Diamonds, the Development Assistant will:


• Communicate with internal and external customers and management to exchange information, resolve complex issues or concerns, develop process/procedures making recommendations for improvement, oversee budgets, approve expenditures, and ensure record retention guidelines are followed

• Coordinate, prioritize, and maintain schedule and calendar of meetings, appointments and special events for executive director; arrange meetings, assemble meeting materials, and coordinate travel arrangements

• Assist in researching, analyzing, preparing, and writing various publications, speeches, presentations; oversee the production of a variety of reports and special projects

• Provide information, counsel, and advise internal and external customers

• Assist with program development; oversee the coordination of functions such as seminars, workshops, banquets including travel, lodging, meals, etc.

• Serve as work-unit/departmental resource regarding word processing, database, graphic/presentation, and spreadsheet software issues; demonstrate expert skills in the use of software pertinent to position

• Articulate Penn State's needs, ambitions, and values, including diversity, equity, and inclusion, through excellent informal and formal communications

• Coordinate and attend meetings; prepare agendas, research and compile background material for meetings, record and distribute executive minutes

• Coordinate and/or manage a wide variety of special projects to support development results

• May interview, train, and direct the work of other support staff, students, and wage payroll personnel

• Resolve complex inquiries and ensure compliance with work unit and/or University policies and procedures; analyze administrative operating practices to create new systems or revise established procedures
• Plan, organize, coordinate, and oversee daily office activities; assist supervisor with the resolution of issues or conflicts by investigating/researching issues and making recommendations; coordinate work assignments of department/unit support employees

• Oversee work unit files, records, databases, and reports; ensure University records and retention guidelines are met; establish work unit procedures for handling and maintaining confidential materials
• Develop new processes or procedures relevant to the support needs of the office; draft reports including conclusions and recommendations for solving administrative problems

• Coordinate the processing of financial and human resources forms and system input; coordinate office equipment purchases and material

• Prepare financial and operational reports; assist with preparation of short- and long-range budget plans; review and approve financial transactions within established guidelines

Analyze information for special projects and reports; draft speeches, handbooks, newsletters, articles, conference materials, etc.

• Coordinate collection of data for annual or periodic reports, grants, etc.; research information, prepare charts and illustrations, compute and tabulate data, prepare summaries

The successful candidate will also have:
• Professionalism in dealing with the public, exhibiting good judgment, participate in special events and communicating with donors, volunteers, students, faculty, grateful patients, and others in writing and in person
• Ability to understand and set priorities, meet deadlines, and work on multiple projects simultaneously; capability to self-motivate and work both independently as well as part of a team; ability to pay attention to detail, employ critical thinking skills, and demonstrate strong writing skills
• Be familiar with or have the capacity to learn University business systems such as Advance Web database, SIMBA (System for Integrated Management, Budgeting, and Accounting), Zoom, and Office 365 (MS Word, Excel, PowerPoint and Outlook) is preferred (training is available)
• Possess exemplary interpersonal skills, communication skills, the ability to work within a team environment, and demonstrate a genuine appreciation in working with diverse audiences
• Dedication to and understanding of the skills required to build relationships with diverse communities and commitment to diversity, equity, and inclusion

Typically requires an Associate's Degree or higher and 3+ years related experience or an equivalent combination of education and experience.
