The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
 

Position Summary

Reporting to the Chief of Staff for the President of Columbia University, the Deputy Chief of Staff will provide strategic and operational leadership for human resources, fiscal operations, facilities, and technology within the Office of the President. The incumbent will play an active role in strategic planning, creating, and implementing policies and procedures for smooth operations of the office.


Responsibilities

  • Prioritizes activities, streamlines workflow and communications, and facilitates all scheduling and processes for the Office of the President. Maintains the organizational structure and staffing in the office to accomplish the organization's goals and objectives effectively.

 

  • With the Chief of Staff, serves as a strategic liaison to faculty, staff, students, and the community at large. Coordinates communication for and between the President and other senior officers of the University.

 

  • Anticipates and identifies issues for discussion at key management meetings; identifies appropriate meeting participants; works with appropriate departments to prepare and/or manage the preparation of reports, briefings, presentations, and responses on institutional and strategic issues.

 

  • Under the direction of the Chief of Staff, manages projects on behalf of the President, frequently involving faculty and/or senior officers of the University; interacts with senior University, industry, government and community officials in the representation and development of strategic program initiatives.

 

  • Strategizes with the Chief of Staff and other senior officers on institutional planning, policy development, and problem resolution; ensures implementation of plans are effectively communicated and managed.

 

  • Oversees the human resources function for the Office of the President. Provides advice and guidance to the senior team in organizational effectiveness and employee relations. Establishes clear lines of reporting, well-defined job descriptions, ongoing training/professional development, and regular performance evaluations. Oversees and provides analysis for the staff compensation process and provides guidance to managers on employee relations issues.

 

  • Responsible for oversight, planning, and ongoing monitoring of all budget and fiscal operations for the Office of the President totaling over $10 million.

 

  • Provides oversight for a data analytics function that is responsible for collecting, cleaning, organizing, analyzing, and interpreting data for reports that will inform the senior administration of the University.

 

  • Oversees the management of all facilities operations for the Office of the President and the President???s House and develops, establishes, and implements departmental policies and procedures. Incorporating efficiencies and best practices enhances existing administrative functions and systems across the board as needed based on regular assessment.

 

  • Serves as the office liaison to the Office of Public Safety on all issues of departmental security. Oversees office access and manages issues related to the office security system.

 

  • Oversees space planning and allocation for the Office of the President. Provides analysis and recommendation to the Chief of Staff regarding allocation. Provides strategy and ongoing direction for all projects related to facilities and space.

 

  • Oversees the technology needs of the Office. Reviews and implements continuous improvement of the technology infrastructure. Provides strategy and ongoing direction for all projects related to technology. Manages the Office of the President technology team and acts as the department liaison for CUIT.

 

  • As a member of the senior leadership team in the Office of the President, meets regularly with other senior managers within the department to discuss goals, strategy, and the state of the office. Represents the Office of the President at university senior level meetings as required.

 

  • Additional duties as assigned by the Chief of Staff.

Minimum Qualifications

Bachelor???s degree required. Minimum ten years of related experience.


Preferred Qualifications

Qualified candidates will have a successful record of leadership in an administrative position with demonstrated expertise in human resources and financial management and a commitment to provide quality service in a complex and changing environment. Excellent communications, interpersonal and organizational skills required.  Confidentiality and discretion are required.  Must have the ability to supervise effectively, including strong team and consensus building skills, and to establish good working relationships with University central administrative staff.


Other Requirements

Advance degree is preferred.
