Job Description Summary:
The Health Sciences Division in the School of Medicine and Health Sciences (SMHS) is recruiting an Department Operation Lead, Health Sciences to support the Office of the Senior Associate Dean. GW Health Sciences is a vibrant unit within SMHS that operates more than 40 academic programs (post-secondary, undergraduate, graduate/doctorate, and professional development), several translational research programs, and has activities at the main GW campus in Foggy Bottom and the Virginia Science and Technology Campus. Summary:
Reporting to the Senior Associate Dean, Health Sciences, this administrative support position supports the Senior Associate Dean (SAD) of Health Sciences and other Health Sciences Leadership as directed. This position partners with university peers to support the SAD and other HS Leadership administrative and operational needs. The incumbent is expected to support high value programs and strategic initiatives of the SAD.
 
Support to Senior Associate Dean :
  • Coordinates all organizational and functional activities in support of the daily work performed directly by the Senior Associate Dean: 
  • Maintains the Sr. Associate Dean’s appointment calendar and sets up meetings. Assists with meeting agendas and teleconference arrangements. 
  • Coordinates the Sr. Associate Dean’s domestic and international travel arrangements, submits authorizations, prepares memorandums and expense justifications; processes and submits travel reimbursements and prepare trip agendas. 
  • Organizes and performs logistics for a variety of events and meetings (room scheduling, audiovisual set-up, catering arrangements, communications, etc.). 
  • Provides the Sr. Associate Dean with support for the development of correspondence, presentations, reports, and other written communications. 
  • Serves as the direct liaison between the office of the Sr. Associate Dean and department chairs and faculty, faculty affairs, medical school and university administration offices, and with outside organizations and agencies.

Support to Other Health Sciences Leaders :
  • Coordinates faculty affairs-related (e.g., appointment, promotion, and tenure; term faculty hires; new faculty recruitments; annual reviews) activities within Health Sciences in compliance with institutional policies and bylaws.
  • Serves as administrative point of contact for select SMHS standing committees (e.g., Appointment, Promotion, and Tenure committee) and special events.
  • Provides periodic administrative support (e.g., scheduling, meeting logistics, research) to other Health Sciences leaders (assistant/associate deans) within dean’s office service lines: academic affairs, student affairs, finance and operations, research, and strategic partnerships. Assists with scheduling, agenda setting, meeting logistics, reporting, and other general administrative tasks for these senior leaders. 

Project Management and Sponsored Projects :
  • Supports high value programs and strategic initiatives through project management and serving on teams related to new program development, community outreach, sponsored/ grant projects, student life, and faculty/staff development. 
  • Conducts research and assist in preparation of reports, summary documents, and presentations for academic programs and strategic initiatives.   
  • Participates in debriefing sessions to inform continuous quality and process improvement activities as well as the policy and procedure development. 

Special Events :
  • Performs event planning (e.g., reserve space, order catering, promotion, etc.).
  • Provides event management (e.g., preparing agendas, participant lists, materials, etc.).
  • Provides day-of event assistance with set-up, breakdown, troubleshooting, and evaluation.
  • Engages with prospective students, students, community members, guests, and other stakeholders to support engagement and active participation. 

Other :
  • Performs other work related duties as assigned.  The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position. 

Minimum Qualifications:

Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Additional Required Licenses/Certifications/Posting Specific Minimum Qualifications:
Preferred Qualifications:
  • Experience in program development, community outreach, sponsored/ grant projects, student life, and or faculty/staff development highly preferred.
  • Proficiency with Excel, Word, and travel/expense applications.
  • Ability to learn new computer applications quickly. 
  • Strong organizational skills, with the ability to work with minimal direction, show initiative and be an effective critical thinker and problem solver. 
  • Excellent interpersonal communication and writing skills, customer service, and professional demeanor.
