Department Manager - The Chicago School Dallas Campus

Job Description:

Reporting to the college Director of Academic Operations, the Department Manager is responsible for supporting assigned faculty and Chairs in their programs' efficient and effective operations. Serving as the hub of academic affairs logistics for assigned programs, specific focus areas include course support, faculty support, budget support, and information management.  

This position is full time and on campus position. Domestic travel and work outside of standard business hours will be required to support key activities and events.

Core Responsibilities: 

Academic Support

  • Provide support for term preparation (e.g., ensuring timely availability of course materials, collaborating with Facilities to secure required space and technology).

  • Manage active courses’ logistical needs (e.g., routing requests for course modification through the necessary approvals).

  • Assign faculty advisors and manage student access to remote academic resources where applicable.

  • Support program accreditation activities (e.g., data management, site visits).

  • Manage academic department assessments, e.g., CCE, ACE, CPCE, comps exams.

  • Manage the documentation and processing of student research, i.e., thesis/AAP/ARP/dissertation, e.g., forms collection, Maxient, manuscript preparation submission.

 

Personnel Support

  • Publicize, record, and distribute faculty training resources.

  • Assist with obtaining faculty-facing technologies and accounts.

  • Coordinate logistics for program-specific events (e.g., team meetings, town halls, residencies).

  • Facilitate the submission of personnel-related documents (e.g., I-9).

  • Ensure coordinated communication between faculty, student support, and advising operations on all relevant academic operations activities.

  • Supervision of Office Assistants

 

Budgetary Support

  • Obtain and submit necessary documents for vendor and third-party payments (e.g., W-9, invoices).

  • Track office supply orders for budgetary and operational needs.

  • Process payment adjustments related to teaching overage, dissertation payments, and under-enrolled courses.

 

Information Support

  • Manage programs’ OneDrive and email accounts.

  • Ensure proper storage of department-specific records (e.g., comprehensive exams, internship placement documents, syllabi).

  • Manage online course requests by collecting required documents and providing responses.

Responsibilities may include other related duties, as needed.  

Minimum Qualifications 

  • 1-2 years of administrative or higher education experience  

  • Bachelor’s degree required;

  • Strong administrative skills

  • High level of computer proficiency, including MS Office (Access, Excel, Publisher, PowerPoint, and Word), Adobe Professional

  • CampusVue or Campus Nexus experience  

Compensation & Benefits

This opportunity is budgeted at $42,000-$48,000 base compensation. Additional compensation factors may impact total compensation.
