Job Description

Herberger Institute for Design and the Arts (HIDA) is always looking to strengthen the organization by adding the best available people to our staff. We’re seeking a Department Human Resources Talent Specialist to help us source, identify, screen, and hire candidates for various roles in the Institute. The ideal candidate will have excellent communication and organizational skills, at least two years of experience in talent acquisition, proficiency with applicant tracking systems, and an ability to devise sourcing strategies for potential applicants. This role requires excellent interpersonal skills for working closely with others across various departments. 

We are in search of a vibrant, organized, highly motivated, and innovated HR professional to aid with and process the administrative human resource support functions with special focus on recruitment for both Faculty and Staff.
Duties include but are not limited:

  • maintaining and retention of unit personnel files
  • recruitment shepherding
  • recruitment data collection
  • new hire onboarding

Essential Duties

  • Works closely with HIDA human resource (HR) team to assist with, and coordinate departmental HR administrative activities to ensure adherence with university policies, practices and regulations. 
  • Acts as recruiting liaison between HIDA Units and Museum and OHR Recruitment with an emphasis on finding qualified candidates quickly for University Staff and Faculty.
  • Gathers and maintains a wide variety of staffing data for recruitments across unit in order to inform financial and staffing decision making. 
  • Provides input to ensure that teams consist of diverse, qualified individuals
  • Ensures that staffing needs are being met with a long-term strategy in mind
  • Devises and implements sourcing strategies, such as an employer branding initiative, to build pipelines for potential applicants 
  • Creates and implements end-to-end hiring processes to ensure a positive experience for candidates
  • Manages many aspects of the recruitment process including pre-screening, reference checks, and offers
  • Forms close relationships with Unit point of contact to ensure clear expectations for candidates and interviewers
  • Coordinates with Unit point of contact to identify staffing needs and candidate selection criteria
  • Creates job descriptions and interview questions that reflect the requirements for each position
  • Compiles lists of most-suitable candidates by assessing their CVs, portfolios, and references
  • May assists Department Time Administrators from various units to ensure accurate and timely recording of exception and positive time for assigned groups. 
  • Performs clerical functions with personal computers and appropriate software for various human resources processes including form preparation, report preparation, and other related functions. 
  • Coordinates onboarding of newly hired employees. 
  • Maintains personnel files consistent with University policies and practices. 
  • Provides backup to other team members as needed to ensure continual efficient operations of department to meet customer service needs. 
  • Participates in a variety of departmental, college, and university-wide initiatives and meetings to represent administrative-level human resource interest and ensure integration/collaborative support of college and university wide interests.  
  • Implements brand confidence and retention practices amongst newly recruited talent
  • Continually identifies new opportunities for key process improvement initiatives that help improve the recruiting strategy to fuel, foster and maintain professional relationships with existing employees
  • Performs other duties as assigned to ensure continual efficient operations of department to meet customer service needs.

Minimum Qualifications

Bachelors degree in human resources, business, or related field; AND, Two (2) years of progressively responsible human resources experience in one or more fields; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Experience working in higher education and knowledge of University policies and procedures, emphasis on academic personnel a plus. 
  • Knowledge of university policies and academic procedures and the ability to identify and implement best practice is desirable
  • Knowledge of all applicable federal, state and regulatory requirements, laws and standards. 
  • Knowledge of quality customer service standards, methods and practices. 
  • Knowledge of basic human resource practices, regulations and standards. 
  • Skill in planning, analyzing and establishing priorities. 
  • Experience in establishing and maintaining effective working relationships. 
  • Evidence of effective communication skills, both verbal and written.
  • Ability to work effectively in an environment subject to quickly changing priorities, sensitive/confidential information and short deadlines. 
  • Ability to develop and maintain cooperative working relationships both within and across organizational areas. 
  • Ability to work effectively and collaboratively with faculty and staff.
  • Experience in working in Interfolio or BrassRing preferred     

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse.
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolutions of conflicts.
  • Ability to clearly communicate to perform essential functions.
  • Regular use of standard office equipment including, but not limited to computer workstation / laptop (keyboard, monitor, mouse), printer, fax, copier, and telephone.

Days and Schedule:  Normal work hours are 8am to 5pm Monday through Friday with extended hours, as needed.  

Work location is Tempe campus.

Flexible work options (after 3 months of service with the Herberger Institute, contingent on the need of the Unit/School and performance)
Alternative work schedules can include four, 10-hour workdays in a workweek; a nine-day, 80-hour schedule over two workweeks for exempt employees only; and staggered start and stop times.
Hybrid work is an arrangement where employees spend a minimum of 60% of their regular workweek at their primary ASU work location. Dean or vice president-level approval is required.
