Job Description

The Polytechnic School within the Ira A. Fulton Schools of Engineering is seeking to fill the position of a Department Human Resources Specialist Sr. This position will perform work of considerable responsibility in administering human resource functions in a complex academic unit with research and instructional emphasis, focusing on recruitment, hiring, payroll, compensation, and classification, tracking and reporting, and training and assessment of TPS personnel. The responsibilities are sensitive and confidential in nature requiring considerable independence, judgment, and skill.

We are looking for a seasoned human resource professional who knows how to anticipate service excellence, is a self-starter who naturally takes initiative and serves in a collaborative environment, and has genuine communication skills using tact, discretion, and judgment; someone who understands the importance of being reliable, organized, punctual, and detail oriented in a diverse and agile environment. This position works both independently, with general direction, and as a part of a larger HR team delivering an extensive scope of support and assistance within the school.

Salary Range

$52,000 - $65,000 per year; DOE


Essential Duties

  • Coordinates staff and faculty visa applications and renewal processes, as well as the permanent residency process.
  • Utilizes Interfolio for recruitment of postdoc, and academic professionals and Brassring for staff/student searches.   Works with hiring committee to manage and facilitate successful searches including applicant evaluation and using established guidelines and processes to completion of recruitment.
  • Processes a heavy volume of payroll transactions in Peoplesoft for new and existing employees which includes processing and approving academic and non-academic hires, renewals, and terminations. 
  • Prepares correspondence associated with and necessary for hiring of employees and inputs data into Peoplesoft to ensure accuracy of pay information, including position and funding changes.
  • Assists with the hiring and preparation of all faculty associate letters each semester and processing of faculty summer pay.
  • Utilizes Adobe Sign to send and receive hiring forms and offer letters.
  • Assists with new TPS faculty and staff onboarding.
  • Coordinates TPS faculty and staff leave of absence and FMLA requests.
  • Coordinates the submission of Out-of-State Employee forms.
  • Identifies overpayments/underpayments for appropriate action and processes and approves payroll corrections.
  • Utilizes DocuWare to maintain personnel and payroll files based on unit, university, state and federal guidelines.
  • Regularly responds to a diverse range of questions from faculty, staff, and students by phone, email, Salesforce, and in-person.
  • Monitors mandatory training for faculty, staff, academic professionals, and graduate students.
  • May supervise, train, and evaluate assigned student workers.
  • Recommends or participates in the development of new procedures or review existing procedures related to payroll operation, then assist in implementing development of documentation.
  • Serves as back up to other HR Specialists and HR Manager.
  • Performs other duties as assigned to ensure continued efficient operations of the school to meet customer service needs.
  • Represents the school and serves on various school and university committees.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND five (5) years of related administrative experience, OR, Nine (9) years of related administrative experience, OR, Any equivalent combination of experience, and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Experience in processing and managing H1-B, OPT, TN, J1 and F1 visas preferred.
  • Demonstrated knowledge of human resource practices, regulations, and standards.
  • Experience with Kenexa Brassring and Interfolio
  • Experience with Peoplesoft
  • Experience working in a higher education environment
  • Experience using Customer Relation Management systems
  • Experience using Microsoft Office applications (i.e. Excel, Word, PowerPoint, outlook) as well as Adobe products to create spreadsheets, forms, and letters
  • Experience working in a highly productive, deadline driven, and agile office environment.
  • Ability to communicate, across all levels of the organization to build and sustain relationships
  • Evidence of effective communication skills, including composition, grammar, spelling and proofreading skills

Working Environment

  • Activities are primarily performed in a regular, climate-controlled office setting subject to extended period of sitting.
  • Use visual acuity and manual dexterity associated with daily use of desktop computer.
  • Lift up to 20 pounds.
  • Regular activities require ability to quickly change priorities, which may include and/or subject to resolution of  conflicts.
  • Clearly communicate to perform essential duties.
  • Work both independently or within a complex structured team.
  • Normally receives little or no instructions on routine work and general instructions on new assignments with review of completed tasks.
  • Exercise judgment within generally defined practices and policies in selecting methods & techniques for obtaining solutions.
