Job Description

The Sandra Day O'Connor College of Law seeks a highly motivated, detail-oriented individual for the position of Department Human Resources Assistant. The successful candidate will assist the ASU Law Human Resources department in all daily functions, including but not limited to timecard and payroll management, student and staff recruitment, maintaining personnel files, and other challenging administrative/clerical HR functions. The Department Human Resources Assistant will report to the Department Human Resources Manager at ASU Law.

Essential Duties

  • Assist Department Time Administrator to process weekly timecards to ensure accurate and timely recording, which may include gathering necessary supervisor approvals and applying ASU policy and time reporting standards.
  • Monitor vacation and sick entries as well as Leave of Absence hours for all faculty, administration, staff and student workers of ASU Law.
  • Manage all student worker recruitments, onboarding and paperwork completion.
  • Assist with the preparation of all Faculty Associate and Adjunct offer letters each semester.
  • Perform administrative/clerical function to assist the Human Resources team to ensure efficient operations of the department and provide superior customer service to all faculty, staff, students and guests of ASU Law.
  • Assist with coordinating and processing personnel searches for staff, as needed.
  • Assist in the digitizing and maintenance of all personnel files and separate medical files.
  • Assist in preparation for and response to financial, payroll and human resources audits.
  • Assist with position accounting and maintenance of accurate funding sources.
  • Physical presence at the workplace is an essential function or requirement of this job. 
  • Perform other duties as assigned to support the goals of the department and/or ASU.

Minimum Qualifications

Associate’s degree in human resources, public administration or related field; OR, Two (2) years of progressively responsible human resources experience in one or more fields; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Experience working in a higher education environment (ASU experience preferred)
  • Experience using Workday, PeopleSoft and BrassRing or other recruitment software
  • Experience in using high attention to detail and critical thinking skills
  • Experience working with confidential information
  • Experience monitoring timecard data and completion of hours
  • Demonstrated knowledge of FMLA, FLSA, ACA and all applicable federal, state and regulatory requirements, laws and standards
  • Experience using Microsoft Suite 
  • Experience working in a fast paced, high volume office with constant deadlines and changing priorities
  • Experience in developing and maintaining cooperative working relationships with others
  • Evidence of effective communication skills, including composition, grammar, spelling and proofreading skills

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse.  
  • Required to stand for varying lengths of time and walk moderate distances to perform work.  
  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.  
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.  
  • Ability to clearly communicate to perform essential functions.  
  • Use standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor and mouse), printer, fax, calculator, copier, telephone and associated computer/technology.
