Job Description
The Departmental Coordinator provides essential administrative support to ensure the effective day-to-day operations of the department. This role supports a wide range of functions, including academic program coordination, faculty and student support, communications, and departmental logistics. The Coordinator works closely with faculty, students, staff, and campus partners to facilitate smooth operations and a high level of service across the department.
While this position will initially focus on supporting graduate programs, including recruitment, admissions, and student services, responsibilities may evolve over time in alignment with departmental priorities and operational needs.
Key Responsibilities
- Coordinate and support daily departmental operations, ensuring efficiency and organization
- Provide administrative support for academic programs, with an emphasis on graduate program activities
- Assist with graduate student recruitment, admissions processes, and onboarding
- Serve as a primary point of contact for faculty, students, and internal and external partners
- Support faculty with scheduling, communications, and administrative needs
- Coordinate meetings, events, and departmental logistics
- Maintain accurate records, databases, and documentation
- Assist with internal and external communications, including drafting and distributing materials
- Collaborate with campus partners to support departmental initiatives and ensure compliance with university processes
- Contribute to continuous improvement efforts and adapt to evolving departmental needs
Qualifications
- Associate's degree or completion of up to three years of college or technical school preferred
- 3+ years of relevant administrative or program support experience
- High level of professionalism, integrity, and discretion
- Strong interpersonal skills with the ability to build relationships and work collaboratively across teams
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines
- Customer service oriented with a positive, approachable demeanor
- Adaptable and flexible, with the ability to support change and evolving responsibilities
- Quick learner with the ability to understand and apply new systems and technologies
- Proficiency in Google Workspace (Docs, Sheets, Drive, etc.)
Additional Information
