Minimum Requirements:

Associate's degree and two or more years of related work experience, or an equivalent combination of education and work experience. Experience may be used on a one-to-one basis to offset the educational requirements. Grade 3 (Hourly).

Position Description:

The Department Coordinator is responsible for coordinating and execute administrative duties in support of all faculty and programs within the LEAD department.  Supervise and manage the departmental student operations including counseling prospective doctoral students concerning admissions, assisting with program and serving as a resource person for students, other staff, and faculty. Assist with financial administrative support within the department.

Primary duties include the coordination and execution of administrative duties to support all faculty and programs within the LEAD department, including financial support to ensure alignment with university policies. Administrative duties for each program include assisting and serving as a resource person for students, other staff, and faculty to support program operations.

Essential Duties and Responsibilities

  • Create, maintain, and monitor  online course schedules for department programs;
  • Process enrollment-related matters (e.g., overrides, grade changes, transcripts) in a timely and student-responsive manner keeping in mind academic policies (e.g., SIGS);
  • Trouble-shoot course and/or program-related problems for students and faculty with regular updates to the parties involved until the matter is resolved (or the best course of action has been provided);
  • Manage and respond to office flow needs (e.g., mail, conduct supply orders, Kbox requests), space/facilities, and equipment;
  • Monitor LEAD and PhD service accounts (e.g., email);
  • Support 30+ faculty and adjunct instructors with course-related matters, including textbook orders and accessing university systems,;
  • Process degree audits working closely with program directors, faculty advisors, and GSS;
  • Support  program directors in the planning and execution of student events such as information sessions, new student orientation, academic/career development, and graduation celebrations;
  • Assist department chair with processing faculty workplans and annual reviews, and scheduling meetings (department, program directors);Collaborate, as needed, with LEAD Recruitment Strategist on student enrollment/retention projects and events;
  • Interview, hire and supervise 3-5 Federal work/study students, including scheduling, workspaces, and distribution/oversight of projects;
  • Take minutes at meetings (program directors, department) and manage department calendars and action items;
  • Update the department leadership team regularly on departmental matters, which may include proposing recommendations of policies,     procedures, or practices for improvement;
  • Monitor/schedule calendars of department chair and LEAD conference rooms;
  • Responsible for financial separation of duties, including: hiring part-time instructors, handling of procard expenses (e.g., entering charges into Onbase), additional pay contracts, vendor payment requests, purchase order requisitions, and travel reports;
  • Collaborate with LEAD Chair/Assistant Chair on other duties as assigned.
Preferred Qualifications
  • Preferred candidate would have previous experience with Workday, OnBase, Microsoft Office & Google Products (MS Teams, Word, Excel, Forms), and PeopleSoft.
  • Excellent written and verbal communication skills.

Target Compensation Maximum:

$27.85

Target Compensation Minimum:

$18.56

Compensation will be commensurate to candidate experience.
