POSITION OBJECTIVE

The Administrative coordinator will support the Marian K. Shaughnessy Nurse Leadership team in their administrative tasks, ensuring smooth operations within the academy.

 

ESSENTIAL FUNCTIONS

  • Scheduling Support: Assist in managing the scheduling needs of the leadership team by updating calendars and communicating essential information. (15%)
  • Meeting Assistance: Provide support in coordinating meetings by preparing necessary documentation and materials. Assist with logistical arrangements and follow-up actions. (15%)
  • Website Maintenance: Assist in maintaining the academy's website by updating content and ensuring its relevance. (10%)
  • Student Support: Offer administrative assistance to students participating in leadership programs, providing guidance and support as needed. (10%)
  • Administrative Tasks: Aid in preparing reports, reconciling expenses, managing travel logistics, and maintaining office supplies. Assist with recordkeeping tasks as necessary. (20%)
  • Recordkeeping Assistance: Support the maintenance of accurate program and advisory board rosters and ensure records are organized in the content management system. (10%)

    NONESSENTIAL FUNCTIONS

  • Advisory Board Support: Assist in managing communications for the academy’s Internal Advisory Board and provide administrative support as needed. (5%)
  • Student Worker Supervision: Provide support in supervising student workers associated with the Shaughnessy Nurse Leadership Academy. (5%)
  • Perform other duties as assigned. (5%)

    CONTACTS

    Department: Daily interaction with department staff and faculty to facilitate workflow. University: Occasional communication with other university departments for information exchange. External: Occasional contact with donors for Shaughnessy Nurse Leadership Academy programs that require travel. Students: Regular communication with students to provide information and support.

     

    SUPERVISORY RESPONSIBILITY

    Assist in supervising student workers associated with the Marian K. Shaughnessy Nurse Leadership Academy.

     

    QUALIFICATIONS

    Experience: 2 to 3 years of related administrative experience preferred.

    Education: High School education required. Bachelor’s degree preferred.

     

    REQUIRED SKILLS

  • Effective communication and customer service abilities.
  • Organizational skills with attention to detail.
  • Proficiency in software applications like Box, Google Docs, and Microsoft Office.
  • Ability to adapt and learn new information for problem-solving.
  • Prior exposure to administrative tasks is advantageous.
  • Consistent attendance and ability to interact professionally with colleagues and customers.

    WORKING CONDITIONS

    General office environment with occasional need for light lifting during travel for conferences or academy programs.
