The Center for New Designs in Learning and Scholarship (CNDLS) is Georgetown’s center for teaching excellence, technology, innovation, assessment, learning analytics, and research.

Job Overview

The Department Administrator provides essential support for a wide range of administrative and financial operations at the Georgetown’s Center for New Designs in Learning and Scholarship. Their support is critical for the successful facilitation and execution of the numerous programs and projects across CNDLS.

Specific areas of responsibility include payments, purchasing, contracts, reimbursements, procurement card reconciliations, recruitment and onboarding processes, student hiring, suite maintenance, and logistical support for events and meetings.

In carrying out these duties, the Department Administrator stays abreast of University administrative policies and procedures and regularly liaises with other campus offices.

Duties include but are not limited to:

  • Serving as one of the first points of contact for general inquiries, both internally and externally
  • Assisting external visitors with travel arrangements and support
  • Managing day-to-day administrative needs of the Center, including maintaining all of CNDLS’ spaces, placing supply/equipment orders, maintaining inventories, and handling maintenance/facilities requests
  • Assisting with event planning and meeting support and logistical needs such as reserving space, placing catering orders, securing media and other equipment, and monitoring delivery of goods and services
  • Assisting the administrative team with expenditure tracking, recordkeeping, and electronic file maintenance

Work Interactions and Work Mode Designation

Reporting to the Assistant Director of Strategy and Operations, the Department Administrator works closely with the Director of Strategy and Operations and other members of the operations team at CNDLS.

As well, they regularly interact with colleagues throughout CNDLS and with a wide variety of constituents across the University (faculty, staff, students) and units, including those within the Office of the Provost (Finance and Business Services, Faculty Affairs), Office of Global Services, Human Resources, Procurement, Payroll, Accounts Payable, UIS, Facilities, and Student Employment Office. They also liaise with external entities and constituents.

This position has been designated as On-Campus. Requirements and Qualifications

  • High School diploma or certified equivalency - preference for higher education course completion
  • 5 or more years of relevant work experience - e.g. , general office administration involving a variety of administrative and financial support function - preferably in an academic setting or similar environment [note : consideration will be given to an equivalent combination education and relevant work experience]
  • Proficiency with MS Excel and Google Sheets
  • Experience learning new Enterprise Resource Planning (ERP) systems
  • Excellent interpersonal and communication skills and ability to establish productive working relationships with a wide variety of people both within and outside of the University
  • Experience handling sensitive information and personnel matters with discretion
  • Ability to exercise mature judgment, to act proactively and demonstrate initiative, to handle high-pressure situations, and to effectively troubleshoot and problem-solve as needed
  • Analytical and detail-oriented approach to completing tasks with ability to handle multiple responsibilities simultaneously and to meet competing deadlines

Preferred qualification

Familiarity with the Center's projects and programs as a general representative of CNDLS in various interactions both within and outside of campus
