Job Summary

The Department Analyst, for the department of Design, oversees annual expenditures and reconciliation, grants, endowments, expenses, and commitments. The incumbent is responsible for the accuracy of budget and analyzing, distributing, and tracking program budgets as well as coordinating the recruitment, appointment, promotion, and other personnel-related issues for faculty, staff, and student employees. As the principal liaison between the Department and the University, the Department Analyst performs a myriad of duties essential to the representation of the Department to the College, University, CSU, and public communities. This position utilizes a wide range of complex administrative and budgetary support for the Chair, faculty, staff, and students.

Knowledge, Skills & Abilities

  • Demonstrated ability to provide high-level customer service
  • Ability to learn, interpret and apply a wide variety of state, federal, CSU, and SJSU policies and procedures related to human resources
  • Demonstrated knowledge of budget policies and procedures, and budgetary monitoring practices
  • Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques
  • Working knowledge of financial software to extract information and understand interactions between various funds and accounts
  • Ability to monitor computerized accounting records and to research and correct computer data errors
  • Proficient in applications: (e.g. Financial Transaction Services (FTS), Common Finance System (CFS), SJSU@Work, MySJSU, eFaculty, CHRS, OnBase, Oracle Financials, Zoom, DocuSign, OnBase, Excel, Google Suite 
  • Ability to handle multiple work priorities, organize and plan work and projects
  • General knowledge of University methods, procedures, and practices; English grammar, business writing, punctuation, and spelling.
  • Ability to compose and appropriately format correspondence and reports

 

Required Qualifications

  • A bachelor's degree and/or equivalent training
  • administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs

 

Preferred Qualifications

  • BA-BS related to disciplines in Art, Business or the Social Sciences
  • Four years of related experience in administrative office management, and event management
  • Demonstrated strong customer service skills
  • Experience with spreadsheets (including formulas and Pivot Tables), DocuSign, Google Suite, and databases
  • Experience in the supervision and training of staff
  • Familiarity with university policies and department procedures.

 

Compensation

Classification: Administrative Analyst/Specialist - Nonexempt
Anticipated Hiring Range: $4,373/month - $5,000/month
CSU Hiring Range: $3,288/month - $6,347/month
