The Princeton School of Public and International Affairs seeks a Program Coordinator for the Diversity, Equity, and Inclusion team. This professional will report to the Associate Dean of Diversity, Equity, and Inclusion and will be responsible for supporting programs and initiatives for the entire SPIA community, including faculty, staff, undergraduate and graduate students, and alumni.

 

The Diversity, Equity, and Inclusion team helps cultivate a sense of belonging for our diverse community including racial and ethnic minorities, all gender identities, LGBTQ+, first-generation and low-income students, those with disabilities, different political and social viewpoints, and others.

 

This individual will be an integral team member who helps to coordinate a range of events, from weekly dinners during the academic year, workshops for students and staff, signature events with alumni attendees in the fall and spring, and more. They will be directly responsible for scheduling, planning logistics, and travel arrangements; communicating with attendees, room reservations, arranging set-up/break-down, event catering, building services, and A/V services support as necessary. They will arrange hotel accommodations and travel for event speakers as well as reimbursements post-event and serve as a main point of contact for the day of the event and troubleshoot issues. They will act as an integral support to the Director of the Junior Summer Institute, a 7-week summer residential learning program the team hosts for undergraduate students. This individual will be asked to support speicial projects in the Dean's office when necessary.



Responsibilities:

Event Coordination, Travel, Purchasing
This individual will act as a thought partner with the DEI team and student leaders in event planning and coordination. The team hosts weekly dinners with 40+ attendees, in addition to large signature programs in the spring and fall with alumni guests and student attendees. They will design and manage registration forms using Google Tools; create or update program materials in coordination with the Communications team, manage room reservations through the University’s EMS system and submit catering orders. This role will be responsible for managing all purchasing for the DEI team, processing invoices and other billing, managing travel coordination for guests, including airfare, hotel, dinners and lunches, coordinating formal schedules for guests, reconciling expenses for the team and processing journals as needed. Some travel, evening and weekend work required.

 

Calendar Management and Communications
The individual will assist with calendar management for the Associate Dean, scheduling DEI committee meetings, and other scheduling as needed for the Associate Director. They will help maintain DEI team's webpages, coordinating with the office of communications on necessary updates.

 

Junior Summer Institute (JSI)
The individual will be responsible for planning and active management of events for the Junior Summer Institute. They will support communications with admissions letters to students, assist with supplier on-boarding, and set up resources for students as they arrive on campus. The Coordinator will manage room reservations both on campus (for courses and events) and off-campus (for Princeton JSI-related events. They will order food and coordinate with caterers, assist with booking vendors, and liaise with university travel agency. They will process reimbursements for students, perform simple data entry or form creation in Microsoft Excel/Google Forms, and support JSI Instructors with classroom materials (making copies and other tasks that may arise), along with other administrative tasks, as needed.

 

 



Essential Qualifications:

- Outstanding administrative, organizational, research, and analytical skills; attention to detail.
- Excellent communication and highly effective interpersonal skills
- Strong commitment to diversity, equity, and inclusion demonstrating a high-level of respect for students, alumni, faculty, and colleagues from diverse backgrounds.
- Flexibility and problem-solving and multi-tasking abilities
- Ability to work independently and also collaboratively as needed
- Proficiency with MS Word, PowerPoint, Outlook, and Excel.

 

Preferred Qualifications:

- Prior experience in higher education with a commitment to student advocacy.
- Familiarity with processing financial transactions (e.g. Concur, Prime, and SAFE)
- Familiarity with Canva or Adobe Creative Cloud.
